Job Summary

AECOM has an opportunity for an Administrative Assistant at our facility in Alice Springs, Australia. The Administrative Assistant provides broad administrative and secretarial support with minimal supervision to specified Manager(s)/Director(s).

Essential Duties:

  • Manage the office of a member of a specified manager(s)/director(s).

  • Read, understand and bring to management attention items requiring attention from the variety of data and reports sent to the office for action.

  • Schedules appointments, arranges meetings, and prepares required materials. May attend meetings and records and report on proceedings.

  • Assist CM’s and Engineers with routine administrative tasks such as Site Access Requests and Controlled Area Access Requests.

  • Organizes and maintains departmental files in accordance with applicable procedures.

  • Manage leave requests and leave calendar.

  • Coordinate/plan department events.

  • Manage logistics for new arrivals TDY and PCS personnel.

  • Conducts data entry input and generates reports as required. Also, creates and maintains spreadsheets and other data bases as required.

  • Prepares, proofreads and distributes correspondence. Composes own correspondence as well as correspondence for signature including the execution and distribution of reports. Also, prepares special or one-time reports, summaries, or replies to inquiries under general direction.

  • Create complex documents, Org Charts and Flow Diagrams using Word, PowerPoint and Visio.

  • Create purchase orders for services and materials as required.

  • SharePoint Administrator support. Request new accounts; upload and download files as required. Manage password resets.

  • Ensure group work areas are tidy and uncluttered.

  • Other duties as assigned or requested.

Minimum Requirements

  • Must be able to obtain and maintain a TS/SCI w/poly security clearance.

  • Associates Degree and at least 5 years of job-related experience or equivalent.

  • Requires operating application software including Microsoft Office suite (Word, Excel, PowerPoint, Visio, Adobe Pro, etc.).

  • Demonstrated intermediate to advance computer skills with Microsoft Office suite (i.e. word-processing, spreadsheets), Adobe Pro, etc.

  • Expertise in collecting, reviewing and analyzing data (automated, performance, tracking).

  • Excellent written communication skills including the ability to write processes and work instructions as well as detailed reports .

  • High level word-processing and spreadsheet skills with a working knowledge of integrated software applications.

  • Ability to plan, prioritize, schedule and track work, resources and personnel.

  • Demonstrated ability to manage work performance

  • Ability to constructive influence and make recommendations to teammates.

Preferred Qualifications

  • Experience in processing engineering and construction documentation.

  • Experience with SAP and SharePoint basic administrative functions.
