Job Summary

AECOM has an opportunity for a Medical Receptionist to support of facility in Alice Springs, Australia. The Medical Receptionist will provide administrative/reception assistance to the Medical Clinics. The Joint Defense Facility Pine Gap (JDFPG) currently runs 2 medical clinics, one in Alice Springs and the other on site at JDFPG. The Receptionist is the initial point of contact for all customers. This position manages all telephone related fist Calls. The Receptionist will process all walk-in enquires at the Clinics and be able to guide them to the appropriate source of assistance. The role involves working with all stakeholders at the Medical facility and JDFPG.

The responsibilities of the Medical Receptionist include, but are not limited to:

  • Greeting visitors at the In Town Clinic and JDFPG Clinic facility.

  • Answering or directing walk-in and phone inquiries to the appropriate area for response.

  • Receiving, sorting and distributing internal and external mail.

  • Coordinating conference room bookings for medical staff.

  • Provide administrative support to the Medical group as directed by the Senior Medical Officer (SMO) and Nurse Supervisor.

  • Provide administrative support including the production of quality documentation, electronic entry of

  • information and filing assistance.

  • Take minutes of weekly meetings and type them up.

  • Receive and distribute packages/items/paperwork delivered to the In Town Medical facility.

  • Spreadsheet maintenance and basic report writing.

  • Enter Medical time entries into SAP and ensure compliance with procedures.

Minimum Requirements

  • Current NT Driver’s License.

  • Must be able to obtain and maintain a Top Secret Positive Vet (TSPV) security clearance.

  • Have worked in a medical location and be familiar

  • with Medical/Technical terminology.

  • Microsoft Office Suite proficient or willing to obtain

  • related qualifications.

Preferred Qualifications

  • Certificate III in Business Administration

  • Proven use of Computerized Medical Records Management Systems.

  • Demonstrated ability to perform planning and scheduling of works to aid in the efficient and effective delivery of services.

  • Demonstrated ability to undertake trend and statistical analysis of data.

  • Minimum 2 years relevant experience in general administration duties.

  • Proficiency with SAP or other CMMS.

  • Experience in development and generation of reports.

  • Demonstrated ability to develop innovative solutions.

  • Demonstrated experience in data entry and document control.

  • Demonstrated experience in keyboard operation and word processing.

  • Commitment to self-improvement with the focus on qualifications/skills update and contemporary

  • industry practices.
