Job Description

Managing Plant Administrative which include the following work scope:

  1. HSSE (Health, Safety, Security, Environment)

a. Demonstrate and drive HSSE leadership for the Lubricant manufacturing plant

b. Represent the Lubricant plant to work with the other businesses for HSSE related events.

c. Take lead to organize HSSE related event in the Lubricant plant.

  1. Administration

a. Transportation management:

i. Manage transportation safety for Operations related activities to meet business requirements.

ii. Arrange transportation for LSC related events (LSC = Lube Supply Chain)

b. Cleanliness

i. Monitor the contractor on plant cleaning service, ensure good house keeping of the office area.

ii. Drive 5S activities for the Lubricant manufacturing plant

c. Stakeholders Visit management

i. Develop and maintain the visit management procedure and coordinate related resource and information

ii. Provide facilitation to the visitiors e.g. logistics support, prepare document for visa application

iii. Lead group of visitor for Plant walk

d. Company activity: lead or participant on part of company activities such as opening ceremony, ground breaking ceremony, annual party, etc.

e. Handle key document and license, including keep and renew company key document and license

f. Represent Lubricant Manufacturing Plant in the energy management committee.

g. Make sure the administrative related spending and cost are in control within the budget.

h. Ensure Excise Duty tracking report is performed and submitted timely with high accuracy of the data.

i. Others: some task assigned by line manager such as plant operation data collection, etc.

  1. Procurement&Payment

a. Handle the procurement of office supplies, and consumeable materials used in the plants, including PR/PO execution in GSAP.

b. Ensure ontime and accuracy of payment for the service contract of the Plant.

  1. Training & Competence Development

a. Make sure the plant Work Certificate and License system is alive and effective

b. Develop company annual training plan and make sure it’s implemented as planned to meet business requirement and keep related record

c. Develop and improve an effective new staff on boarding training scheme

d. Coordinate on professional certificate test of Shell staff

Dimension: 90 staffs, 250 contractors

Report to CNS Plant Manager

Requirements

  1. Bachelor Degree in Engineering or Industry management

  2. Service mindset with good coordination skill

  3. Fluent in English

  4. Experience working in manufacturing environment

  5. Experience in administrative works is a plus

  6. Experience in dealing with government bodies is a plus
