The Student Records Evaluator is responsible for the timely evaluation and assessment of student academic records for its partner and client institutions. This position’s primary function is to evaluate students’ prior academic records from universities and colleges, including CGPAs and transfer credits. As a member of the Student Support Services team, it is the overarching responsibility to ensure that the highest level of student and client support is delivered.


Specific duties and responsibilities include, but are not limited to, the following:

  • Accurately evaluate students’ prior learning and completed courses and academic programs from universities.

  • Accurately calculate and document student’s transfer credit and/or CGPAs in accordance to university and

  • internal policies and procedures.

  • Provide support to the Student Support Services Department, including providing Quality Assurance to ensure student records are updated timely and correctly.

  • Manage course rosters and input enrollment information in the CRM.

  • Update enrollment statuses in the CRM.

  • Review participation, log on and trend reports and input necessary information in the CRM for Student Support

  • Services team members.

  • Update the program schedules and course information in the CRM as requested by the Academic Administration

  • Manager.

  • Create new program versions, courses, school terms, and course schedules in the CRM as requested.

  • Create and maintain the enrollment schedules for students in programs in a timely manner.

  • Create and maintain course and cohort schedules in partnership with the Student Services team members.

  • Provide weekly updates to the Transfer Credit Manager that includes challenges and opportunities, and status/productivity reports on previous, current and future activity.

  • Ensure adherence to internal and external academic policy.

  • Coordinate the communication flow of cross functional records activity between Recruiting Services and Student Support Services.

  • Act as the main point of contact for transfer credit and GPA calculations at Pearson Embanet.

  • Provide support to the Student Support Services Department, including providing reports and assisting in deliverables to ensure student records are updated timely and correctly.

  • Participate in Recruitment Services, Student Support Services, and academic partner meetings on an as needed basis.

  • Requires the ability to work a flexible schedule to meet departmental needs. This may include working more than 40 hours a week.

  • Maintain and update Standard Operating Procedures documents as needed.



  • 4-year degree from an accredited institution OR appropriate combination of experience and education

  • 1 to 3 years’ experience in a student services role for an accredited university or college.

  • At least 1 year of experience in a registrar’s or transfer credit office is required.

  • Experience in assessing transfer credit and a student’s academic record is highly preferred.

  • Excellent analytic and researching skills, organization, planning and communication (written and oral) skills.

  • Strong attention to detail and a passion for accuracy.

  • Ability to manage multiple tasks and projects to meet expectations.

  • Has the ability to transfer knowledge and skills through training.

  • Demonstrated ability to take the lead to accomplish goals.

  • Highly proficient with Microsoft Office (Excel and Word) and navigating on the internet.

  • Experienced with working within a student information system (SIS) and/or transfer credit databases.
