Unit Description

Sodexo has an exciting Senior Legal Secretary position with Corporate Legal team. This position will be based out of HQ in Gaithersburg MD.

Supporting the Vice President of Contracts Administration, this position will be responsible for the following:

  • High volume word processing, including typing correspondence, handwritten material, in-house memoranda, agreements, contracts, termination and other legal documents.

  • Answering telephones (providing assistance, if possible); taking messages and screening calls in manager’s absence; referring calls to other appropriate parties for handling.

  • Transcribing tapes and formatting correspondence and legal documents using Microsoft Word software.

  • Preparing rough drafts of routine correspondence for director/department review.

  • Proofreading documents prepared both in-house and in other offices.

  • Photocopying correspondence, documentation from permanent document files and other information.

  • Submitting documents to Permanent Document and correspondence sections via Records Department.

  • Scheduling meetings and reserving conference rooms.

  • Interfacing with field and operations personnel and administrative staffs.

  • Redlining revisions to documents (using Deltaview and Comparite software).

  • Maintaining status and tracking reports.

  • contracts administration and program management duties needed to help administer and manage to CRM, Document Mall and HotDocs programs.

  • Develop and support IT software programs utilized by the Contracts Group.

The ideal candidate will have the following preferred skillset / background:

  • Ability to accurately transcribe, edit and proof documents.

  • A full range of administrative processes typically gained through 2-4 years of experience.

  • Associates degree or comparable experience preferred.

  • Demonstrated ability to multi task and meet varied deadlines. Position requires individual to be very organized.

  • Knowledge of intermediate functions of PowerPoint, Word, Excel and Outlook.

  • Knowledge of Redlining revisions document & Esignature tools

  • Strong interpersonal and communication skills. Must possess ability to make and build relationships.

  • Skills that enable him/her to represent the department and manager in a professional manner.

Position Summary

Under general supervision, provides general secretarial and administrative support to one or more Attorneys. Work is somewhat varied, including transcription of legal notes, formatting of legal correspondence, and preparation of legal documents. Requires a broad understanding of company operations, organizational procedures, and legal support practices. Work may involve handling confidential and sensitive material. Within established guidelines, makes some independent decisions regarding planning, organizing, and scheduling work.

Qualifications & Requirements

Basic Education Requirement - High School Diploma or GED
