L3 Technologies Administrative Assistant 3 in Greenville, Texas

This is an Administrative Assistant Position within the ISR Systems Business Area. The Administrative Assistant will act as program coordinator to support all aspects of program office operations. This position requires strong interpersonal and organizational skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment. The ideal candidate must have the ability and willingness to work in a team environment. Maintaining confidentiality is the utmost aspect of the position. In addition to supporting the ISR business area program leadership team, the Administrative Assistant will coordinate departmental training and access to the closed area program office.

Responsibilities include but are not limited to the following:

  • Assist ISR business area program team in maintaining meeting schedules, including some calendaring, as well as preparing for internal and external meetings.

  • Types and designs general correspondences, memos, etc., proofreads copy for spelling, grammar and layout, printing, making appropriate changes and is responsible for accuracy and clarity of final copy.

  • Organize and schedule appointments for the ISR business program and customer teams.

  • Plan meetings and take detailed minutes for meetings as requested.

  • Making domestic and international travel arrangements through corporate travel and completing travel expense reports for the program teams as requested.

  • Organizes and prioritizes large volumes of information and calls, including answering phones for the program team, taking messages or fields/answers all routine and non-routine question and coordinating with other administrative staff to cover calls to the department.

  • Process overtime requests and create overtime reports/charts for evaluation monthly and year-to-date as requested.

  • Process labor and pay corrections for program team as requested.

  • Collect/combine all weekly status reports from the program lead managers and coordinate to condense for submittal to leadership.

  • Create and maintain contact lists for personnel for ISR business area department

  • Acts as safety coordinator for area

  • Schedules and organizes activities such as training, meetings, travel, conferences, and department activities for department and program team.

  • Establishes, develops, maintains and updates filing system the department.

  • Assists in maintaining departmental goals and performance reviews as requested.

  • Coordinates division of workload with other ISR departmental administrative staff

  • Maintains office supplies for program team within available overhead budget.

High School Diploma and a minimum of six (6) years of relevant experience or an equivalent combination of education and experience.

  • Knowledge of office management systems and procedures.

  • Basic knowledge in SAP or Business Warehouse or equivalent.

  • Excellent time management skills and the ability to prioritize work.

  • Attention to detail and problem solving skills.

  • Excellent written and verbal communication skills.

  • Strong organizational skills with the ability to multi-task.

  • Must be a self-starter and able to initiate activities to support job responsibilities.

  • Ability to support the standard work hours (1st shift).

  • The ability to maintain a professional demeanor under sometimes-stressful conditions.

  • Proficiency in MS Office (Word, Outlook, Excel and PowerPoint).

  • Position requires the flexibility to work on short notice, overtime, evenings, weekends and holidays as needed.
