Job Summary

AECOM is seeking a Document Management Specialist to support the Global Operations group’s Validation & Compliance team in the pharmaceutical industry in Groton, CT! Typical work hours are 8:00am – 5:00pm; hours may vary based on business demand.

This position’s responsibilities include, but are not limited to, document control and reporting in an archive environment.

  • Facilitate a document management program covering multiple forms and formats of documents and records related to Global Operation’s business needs.

  • Support management of the repository for electronic data, tools, and reports.

  • Provide information from the Global Document Management System upon request.

  • Support Global Operations’ onsite and other internal customers to assure compliance.

  • Provide support for Global Operation’s GxP audit requirements.

  • Ensure information’s integrity, accuracy, accessibility, security, control, and reporting.

  • Support the development and use of standardized reports across multiple document management systems.

  • Develop and populate reports , as required by the Global Operations Validation & Compliance team lead.

  • Reviews, proofreads, corrects, and amends material in various stages of development as needed.

  • May specialize in technical or instructional material, specifications, procedures, proposals, contracts, etc.

  • Communicates information in written and verbal formats.

  • Perform other duties as assigned.



Minimum Requirements

Minimum Requirements:

  1. Four years of experience related to information resources, document control, records management, or a related field.

Additional Information:

  • Qualified applicants who are offered a position must pass a pre-employment substance abuse test.

  • This position may require a valid Driver’s License.

  • This position does not include sponsorship for United States work authorization.

  • This position will require the ability to obtain a security access badge at our client’s location.

  • This position may require various shifts, weekends, and alternative work schedules.

Physical Requirements:

  • Some tasks will require repetitive wrist movement.

  • Requires ability to read and understand information contained in a variety of documents or displayed on a computer screen.

  • Requires ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents.

  • Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings and presentations.

  • Demonstrated fluency in computer use including the full Microsoft product line.

  • Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.

  • Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.

  • Wear Personal Protective Equipment (PPE) as needed.

  • Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained

Preferred Qualifications

Preferred Qualifications:

  1. High school diploma or equivalent.

  2. Experience with Global Document Management System (GDMS) or related electronic records management program.

  3. Proficiency in the use of MS Word, Excel, PowerPoint, and Outlook.

  4. Associate’s degree in business, information management, records management or related field, or demonstrated equivalent combination of education and experience.
