JOB TITLE: Scheduler Team Lead

GENERAL SUMMARY OF DUTIES- Responsible to manage the day-to-day operations of the scheduling department. Schedules patient testing/procedures/admissions; obtains pre-cert/authorization numbers and enters in the scheduling or registration system; obtains and enters accurate insurance information; answers incoming phone calls when necessary to ensure targets are met. Performs QA audits, tracks trends performance and productivity by employee. Provides ongoing training and education. Assumes responsibility for staffing, problem solving, and leading by example

SUPERVISES - Scheduling Team and Insurance authorizations DUTIES INCLUDE BUT ARE NOT LIMITED TO:
  • Assist and/or perform maintenance of Scheduling Dictionaries including meeting with ancillary departments to resolve dictionary issues initially according to Project Plan and on an ongoing basis.

  • Perform scheduling function when needed to ensure telephone hold times are kept to a minimum

  • Ensure QA is performed on a sample of scheduled procedures; maintain statistics and reports

  • Maintain oversight of staff performing Indexing and/or Order maintenance

  • Assist with development and/or creation of scheduling education materials

  • Provide operational phone support for Meditech scheduling module

  • Provide continuous training for and communicates changes to existing employees

  • Follow-up on patient and physician complaints promptly

  • Implement and promote excellent customer service

  • Interview, hire, evaluate, and counsel Scheduling staff members

  • Perform evaluations in a timely manner

  • Train new employees in all aspects of their assigned job

  • Supervise and maintain the productivity of employees

  • Process all paperwork in a timely manner

  • Complete monthly reports for the Director and ad hoc reports as needed

  • Ensure all personnel policies are followed

  • Develop and maintain policies and procedures Answer telephone in a timely and professional manner

  • Select accurate insurance carrier plans and informs the patient or physician office staff of any carrier that is out of network or of any carrier that may result in a decrease of benefits

  • Inform the physician office staff or patient of any testing requirements according to the instructions and queries in the scheduling module

  • Ensure that any edits performed in the scheduling module are also duplicated in the admissions module

  • Maintain knowledge of the scheduling reports for the next day to ensure department readiness in the event of any unscheduled Meditech down-time

  • Work closely with the physician office staff to ensure that pre-cert/authorization numbers are entered in the scheduling or registration system

  • Select the correct patient medical record number consistently

  • Maintain open communication with the registration staff regarding those unscheduled patients presenting for services to ensure appropriate testing is performed and times are available

  • Utilize appropriate method/tool to communicate with Patient Access and other facility departments as necessary

  • Edit medical accounts to a PRE status per facility or SSC standards and guidelines

  • Receive, maintain, and index physician orders per facility and SSC standards and guidelines

  • Effectively manage and direct all areas to ensure quality, productivity, and customer service

  • Conduct monthly staff meetings and inservices for all responsible areas

  • Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement”

  • Other duties as assigned

    EDUCATION • High School Diploma or GED required. Associate’s or Bachelor’s Degree preferred.

    EXPERIENCE • Patient Access and/or Scheduling experience required • Minimum 3 years management experience required
