Job Purpose Statement

The Payroll Administrator supports the Payroll Manager with payroll processing, financial reporting, 401k benefit entry, payroll data entry, account reconciliations, reporting and the payroll help desk. In addition, provides critical support to the payroll department in meeting established goals and objectives.

Summary of Responsibility:

Under the direct supervision of the Payroll Manager this position provides payroll administrative support to both the human resource and finance department. This position performs a variety of administrative duties which require a minimum of three years experience and/or training. This position covers the complete payroll processing that include but are not limited to: payroll data entry, time clock polling/importing, multiple locations payroll processing, GL downloading and reporting, account reconciliations, filing and other administrative support roles. This position requires independent decision making. Some tasks may be repetitive in nature.

Essential Duties and Responsibilities:

  • Prepares and executes accurate and timely processing of multiple payrolls in accordance with payroll processing provider for all locations.

  • Imports all employee timekeeping data files from all timekeeping systems to payroll processing software.

  • Verifies and audits employee data in payroll.

  • Completes all payroll audits prior to transmitting payroll for accuracy and balances hours.

  • Transmits all company codes to payroll processor each payroll.

  • Uploads management reports from payroll provider after each payroll has been transmitted.

  • Uploads and distributes GL interface files from payroll provider to finance.

  • Responsible for on-time reporting of payroll data in support of the financial close.

  • Reconciles multiple balance sheet accounts related to payroll and benefits

  • Receives Fidelity 401k reports weekly and enters into payroll system all 401k changes for all locations and balances monthly 401k reports from payroll provider.

  • Set-up additional payrolls if needed and maintains the payroll processing calendar.

  • Assist with annual worker’s compensation audit.

  • Prepare required government reporting as needed or requested.

  • Prepare and issue manual payroll checks when required and updates the check log and sends to finance.

  • Assist during internal and external payroll or benefit audits.

  • Assist with W-2 annual reconciliation.

  • Serves as back-up support to the Payroll Manager and Payroll Assistant (cross-training required).

  • In absence of payroll manager performs all functions including staff support.

  • Provides high quality customer service, high quality work and accuracy.

  • Performs other assignments as required.

Required Education and Experience:* *

  • 3-5 years of payroll processing experience required;Enterprise certifications preferred

  • Strong knowledge of report writing.

  • Strong PC skills including proficiency in Excel and Word Required

  • High level of detail orientation

  • Clear written and verbal communications

  • Good management skills

  • Excellent analytical and math skills

  • Willingness to travel - minimal
