Position Title Document Controller
United Kingdom - Lancashire
We are looking for a Document Controller to maintain effective control of all programme/project documentation, consistent with standards and processes and to administer project information systems.
You will be joining a multi-disciplinary team and dedicated professionals and you will need to have demonstrable experience.
The role will involve setting up, managing and maintaining project document control systems in line with company, clients and project requirements.
As a Document Controller/Administrator, you will be experienced in using electronic document management systems and have an ability to keep clear, accurate records and reports. The ability to rapidly input data and retrieve records and information is essential. The ideal candidate will possess excellent attention to detail, communication skills, be highly organised and can prioritise a heavy workload.
Establish and maintain document control processes and storage soft and hard copy media.
Monitor so that the programme and project teams comply with document control processes and procedures.
Archive, retrieve and store documentation adhering to company standards and policies
Check that all information complies with specified company formats, templates and standards
Assist with quality checks and audits of document databases, identifying and correcting any anomalies
Endorse the corporate content management system ensuring business system continuity is met
Maintenance of document tracking systems to manage incoming, internal and outgoing documents.
Liaison with project team, client, and representatives of Outside Parties as required.
Assist the project team in the management and implementation of the document control systems
Formatting reports, documents
To ensure that the latest revisions are administered and distributed promptly
Co-ordination and control of the RFI process on various projects
General office/ team administration duties
Control and distribute all incoming and outgoing project documents and workflows in accordance with the business and project procedures
Maintain all project documents and associated records in company filing system
Check outgoing documents for compliance with project/Aecom standards
Be the point of contact for online project document management system and train Aecom staff in proper use
Organise archiving/disposal of project documents when required
Uploading of all information onto the Document Control System.
The Document Controller will be responsible for keeping this system and all registers up to date at all times and issue all necessary information to all parties as and when required.
Able to work effectively in a team and office environment
Effective communication and organisational skills
Able to prioritise workload effectively
Software knowledge of Word/Excel/Adobe Packages/Use of Document Control systems/Portals
Experience within Document Control in Construction or Engineering environments
An understanding of Document and Drawing numbering systems
To have some understanding of how Management systems work and what is the benefit of using a Management system when working on a project
Understanding of Time Management
You must have demonstrable experience in a similar role.
