The Client Associate (CA) role is a sales support position, typically providing dedicated operational and sales support to multiple Financial Advisors (FA's). Incumbents may also on a regular basis support office initiatives, in addition to the businesses of particular FA's. For established clients, the CA will often serve as the most frequent point of contact with Merrill Lynch. Fully registered CA (Series 7, 63, 65, & 66). Fully paid or partially paid by the FA.

Specific Description

This position is primarily responsible for the ongoing administrative needs of a Managing Director at Merrill Lynch. The position will provide marketing support for various initiatives, programs and events for the team. The Executive Assistant will oversee all calendaring and scheduling activities, assist in setting up meetings, and work to the successful completion of assigned project work.

The individual will be responsible for the following:

  • Manage calendar including the coordination of the complex and shifting schedule of the team, making travel arrangements for all out of town engagements as well as reservations

  • Prepare letters, notes, cards

  • Manage incoming/outgoing mail and email account for the Managing Director

  • Participate in client calls and meetings to take notes (to be typed, edited and added to Salesforce), create follow up letter/email to client and assist with notification of appropriate team members for follow-up activities

  • Manage team expenses

  • Greet clients for office meetings, assist them with beverages, etc. and handle pre & post client meeting process, including pre-meeting room preparation and any clean up

  • Answer team phones, screens all meeting requests and inbound phone calls to determine priority level

  • Participate in weekly team meetings, taking detailed notes to report back effectively to team members. Prepare agenda, add items as needed, follow-up on items

  • Prepare documents for team client/prospect calls and meetings

  • Provide marketing and business development leverage, including planning of client and prospect events.

  • Use technology skills to maintain LinkedIn database and Salesforce management tool

  • Proactively research new technology

  • Additional responsibilities as requiredExecutive Assistant must be able to be trusted with highly confidential information.


  • Undergraduate degree preferred, Minimum of 1+ years professional or relevant internship experience required.

  • Series 7 & 63/65 or 66 registration preferred; if hired without licenses, depending on the needs of the business, you may be required to obtain registrations.

  • Knowledge of investment and banking products, policies & procedures is required.

  • Strong client service & technical skills (MS Word & Excel).

  • Strong communication, time management and organizational skills are required.

Desired Skills and Experience

Typical requirements for this position include the following: administrative support experience, event planning, awareness of current technology applications and ability to tackle future technological releases as they become available. Excellent writing, correspondence, interpersonal and communication skills. Candidate must have well developed organizational skills and must be proactive in his/her approach to the position. The candidate must present themselves in a professional manner on behalf of the team.
