Job Summary

The Facilities Specialist is responsible for managing of vendors, work order management, and the overall financial tracking for the Facility Operations Group at the Corporate Campus in downtown Philadelphia.

Core Responsibilities

This position acts as a primary lead for all repair and maintenance needs including paying of departmental invoices, tracking and accruals, and budget planning. In addition, this person would also have building responsibilities as a specialist including floor tours, work order management, and vendor relations.

The successful candidate will demonstrate the following experience and skills:

-Develop thoughtful and accurate budgets during the annual budget process by collaborating with department management, providing insightful supporting analyses, and developing customized tools for analyzing and uploading data as needed

-Conduct and consolidate insightful variance analyses to fully understand the drivers of business performance and to identify potential issues and opportunities

-Perform ad hoc and decision-support analyses as requested by management

-Manage the invoice tracking and payment processes for Repair and Maintenance, as well as project related work.

-Develop ways to continually improve processes to ensure timely, accurate, and intuitive budget analysis and financial review for management team

-Consistent exercise of independent judgment and discretion in matters of significance

-Track project costs against approved budgets

-Assists with afterhours projects and on-call rotation

-Reviews accuracy of vendor billing and compiles information for management approval on all major repairs

-Ensures that buildings are in compliance with Company & OSHA

-Managing of specific floors, vendors, and work orders

-Other duties as assigned


-Oversee and manage union contractors and outside vendors that are assigned

-Working in a fast paced environment

-Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedules and overtime as necessary


-1-2 year's business / financial planning & analysis experience

-Must be an MS Excel power-user, with demonstrated ability to utilize PivotTables. Basic MS PowerPoint and Word skills are also required.

-Must be able to effectively communicate, influence, and engage all levels of the organization


-Bachelor Degree in Business or Accounting Required

General duties related the department:

- Coordinates furniture reconfigurations and employee moves, adds, and


- Ensures accuracy of vendor billing and compiles information for

regional executive management for approval on all major repairs.

- Works with building management in coordinating the maintenance, work,

and repair of electrical, plumbing.

- Assists with after hours projects and on-call emergencies.

- Ensures that buildings are in compliance with Company & OSHA


- Maintains floor plan database. Keeps track of Certificate of

Insurances and service contracts of approved vendors

- Assists with the management of the office facility to include:

coordinating service request with vendors, coordinating employee moves,

furniture reconfigurations, pricing, delivery, installation services,

and maintaining a floor plan database.

- Regular, consistent and punctual attendance. Must be able to work

nights and weekends, variable schedule(s) and overtime as necessary.

- Other duties and responsibilities as assigned.
