We support our employees globally by coordinating and managing the day-to-day operations of General Accounting, Human Resources, Administration, Marketing and Information Technology. Job Summary

  • Serve as the central point for coordination of SH&E related administrative functions as described in detail below.

  • Maintain the SH&E Departmental server folders, electronic filing as well as record keeping systems.

  • Be an active member in the Office SH&E committee and undertake administrative support roles as required to promote Office Safety.

  • Assist with regular monthly inspections of the workplace.

  • Assist the Southeast Asia SH&E Director and other delegated leaders with general office administrative support duties (travel, timesheets, expenses, filing, meeting coordination etc.).

  • Serve as the designated web site coordinator for the Southeast Asia SH&E Home Page and keep up to dates all information and documents.

  • Compile Monthly Business Review (MBR) data spreadsheets for submission to APAC and download Southeast Asia Core Value Matric (CVM) reports from Insight platform.

  • Schedule monthly Safety Leadership Team SLT meetings & update slides and meeting minutes as required.

  • Serve as the Southeast Asia SH&E focal point for AECOM Learning Management System and work closely with APAC & Global counterparts to:

  • Work with Corporate Communication Team on updating and refreshing SH&E Related Posters and other promotional material for Offices and Projects.

  • Liaise and coordinate with suppliers to procure personal protective equipment and other safety-related equipment (e.g. First Aid, Fire Equipment etc.).

  • Manage PPE procurement in Singapore & assist all regional offices to maintain PPE & First Aid supplies.

  • Collate and keep track of Office Emergency & regional Resilience Plan revisions.

  • Review Regional Emergency & Resilience teams and contact numbers and update as appropriate on Resilience Portal.

  • Assist Office SH&E Champions maintain SEA’s levels of qualified First Aid Officers and equipment.

  • Periodically assist SH&E Director and Project Resources to conduct Project Safety Reviews.

  • Assist in the promotion of AECOM Health initiatives with regional offices.

Minimum Requirements

Qualifications and Knowledge

  • Preferably with 1-2 years of relevant experience in safety.

  • Previous experience in a SH&E Administrator role with exposure to industry SH&E Programmes and systems management preferable.

  • Suitable administrative qualification and/or Occupational Health & Safety or similar related qualifications (Diploma, Degree or registration towards becoming a SH&E Professional preferable).

  • Strong interest and commitment to working in the health and safety environment

  • Administration background in a high-paced and demanding workplace environment

  • Exposure to an engineering consultancy environment (desirable).

Skills

  • Advanced Microsoft Office Suite Skills, i.e. Word and Excel (to intermediate level) and proficient in Outlook, Access, Powerpoint, ERP’s

  • Excellent written and verbal communications skills, including the ability to liaise and consult with staff at all levels within the organization and external providers

  • Ability to priorities multiple tasks and be proactive in meeting deadlines

  • Highly motivated and enthusiastic – eager to learn and take on new tasks – a ‘can do’ attitude

  • Excellent organizational skills

  • A demonstrated commitment to high professional ethical standards and a diverse workplace
