Summary:The Program Assistant works with the office Director, Deputy Director, Team leads, and staff to facilitate the efficient functioning of the USAID’s Middle East Bureau, Office of Technical Support (ME/TS) office. The Program Assistant provides planning, monitoring, coordinating, and reporting support on ME/TS Office program activities to ensure that activities are effectively implemented.

Essential Duties and Responsibilities:(Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position)

  • Perform secretarial and administrative functions as needed, to include managing the calendars, scheduling meetings, maintaining files and records, coordinating office communications, and preparing travel arrangements for staff as assigned.

  • Assist with the preparation, review and clearance of documents related to the planning, design and procurement of development programs and projects.

  • Analyze and organize budget and field support tracking.

  • Update and manage portfolio review, management systems and program files.

  • Prepare program/project tracking, reports and success stories.

  • Provide technical and program related conference and event planning

  • Serve as logistical backstop to staff, including TDY staff, for establishing meeting schedules and securing work space, arranging electronic support, and related items.

  • Research and provide technical support for studies, analyses, and related ME/TS Office and programmatic support.

  • Support USAID liaison and coordination efforts with other donors, NGOs, civil society groups, government officials, and other actors.

Minimum Qualifications:(To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)

  • Bachelor’s Degree

  • 1 year experience or the equivalent combination of education and professional experience. Experience with issues related to the Middle East and/or International Development.

  • Experience in the use of database applications is preferred.

  • Secret Clearance required.

  • Proficiency in the use of Microsoft Office, G Suite (Gmail, Drive, Docs, etc.), internet and related applications.

  • During visits to areas of operations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
