This position will sit onsite at Wright-Patterson AirForce Base, located just east of Dayton, OH.*
Primary Role:* Responsible for performing, administrative and operational support to the General Manager and staff, maintaining a close and highly responsive relationship for day-to-day activities of supervisor and staff. Work fairly independently, receiving a minimum of detailed supervision and guidance, and taking responsibility for completing certain programs/activities.
Provides confidential and administrative support for General Manager and staff. Anticipates and arranges, participates in, and implements conferences and meetings.
Prepares financial, statistical, narrative, and/or other reports as requested. Responsible for monitoring expenditures to budget according to company guidelines with the General Manager overseeing the Budget.
Responsible for the Purchase Order System and providing administrative support for the procurement of materials.
Completes bi-weekly time sheets and submission to payroll (for all full-time and temporary employees).
Coordinates routine activities and communications with DPW, Government Contractors and others as directed. Handles telephone requests and communicates to field personnel
Responsible for the Work Order System. Administers and coordinates the preparation and completion of work orders in accordance with the policies and practices.
Administers and coordinates the maintaining of reports, maps, charts and records related to operations and maintenance (O&M) capital
Contributes to effective communication by listening and providing constructive feedback.
Performs related duties as assigned.
Valid driver’s license
Proficiency with MS Office Suite products, including MS Word, Excel, PowerPoint and Access.
Ability to work independently; strong administrative and computer skills; strong interpersonal skills (e.g. tact/diplomacy, cooperation, negotiation); high level of initiative, judgment and discretion; discretion with confidential information.
Proper use of grammar, spelling and punctuation.
Broad knowledge of company operations and policies and procedures.
Knowledge of advanced secretarial procedures and executive protocol.
Education/Experience:* Any combination equivalent to: graduation from high school or GED, and five (5) plus years secretarial or administrative experience,, and performance of duties at a responsible level, Formal secretarial training or degree in Secretary Science and/or CPS designation desired.
