Oracle Senior Executive Assistant, Oracle Cloud (JoinOCI) in Atlanta, Georgia

Provides administrative/clerical support to a function, group or customer base. Supports an SVP or below.

Spends less than 20% of time providing administrative support to relieve managers and staff of administrative and clerical details. Spends more than 80% of time on special projects. Projects may include equipment management, training new hires on policies and procedures, project coordination and logistics, documentation and collateral coordination, liaison to Human Resources, create administration manuals. May participate in operational task forces. May analyze basic spreadsheet models and track projects.

Works on assignments that are complex in nature where considerable judgment and initiative is needed in resolving problems and making recommendations. Exercises judgment within defined procedures and practices to determine appropriate action. Normally does not receive work instructions, may determine methods and procedures on new assignments and may supervise other administrative employees. Ability to work in a dynamic fast paced environment. Knowledge of spreadsheet applications. Demonstrated strong organizational skills. Proactive and resourceful. Self-motivated. Proficient in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc. BA/BS degree or equivalent. 2 - 4 years of related experience.

OCI is looking for a Sr.ExecutiveAs sistant who is dedicated, well rounded, proactive with high integrity, has a great work ethic, and an extreme problem solver whose judgment the team can rely on.

You will manage rapidly changing schedules, handle complicated domestic and international travel arrangements, and manage a high volume of inbound and outbound communications. The role involves complex administrative tasks, often multi-tasking. The role will handle details in a high growth organization and function efficiently and effectively in a fast-paced professional environment. You will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines.

The role will be responsible for coordinating organizational functions, presentations, special projects, and be able to work with and bring together cross-functional coordination between different organizational units within the Vice President’s span of control.

Key Responsibilities

  • Advise manager and team of pertinent issues, correspondence, internal and external messages requiring immediate attention, assisting in the delegation and prioritization of tasks as necessary

  • Manage a complex calendar/schedule that includes scheduling meetings and travel, video/web conferences, trainings (off-site and/or internal), group events, and booking conference rooms, ordering snacks and lunches and ensuring the arrival to locations.

  • Maintain monthly travel/vacation schedule. Assist with Expenses as needed.

  • Establish and maintain effective relationships with peers, all levels of management, employees, and internal/external customers

  • Run internal administrative projects for the team, as needed

  • Act as a liaison and problem solver as you are the first point of contact for the team

  • Assist with developing and updating complex PowerPoint presentations, Excel spreadsheets and documents in support of the leader and/or other team/organizational activities

  • Collaboratively performs research, collects materials, and maintains files which include relevant articles and collateral used by the team in communications; takes and transcribes notes from meetings, identifies action items and schedules reminders

  • Must have strong organizational skills.

  • Proficient in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc.

  • BA/BS degree or equivalent.
