Located in central Austin, St. David’s Medical Center includes a 350-bed acute care hospital and a 64- bed rehabilitation hospital providing comprehensive inpatient and outpatient care. It is home to the internationally renowned Texas Cardiac Arrhythmia Institute and St. David’s Neuroscience & Spine Institute . The Administrative Assistant supports the Quality Department’s daily operations and performs a range of administrative office duties. This role also supports the administrative needs of the Infection Prevention Department and Enterprise (SDMC, HHA, SDGH) as needed.

GENERAL RESPONSIBILITIES Primary Duties Performs, clerical tasks with promptness and accuracy: typing/data entry, filing, copying, and distribution of material. Uses telephone and personal communications effectively. Handles interpersonal relations with various customers in a professional and appropriate manner. Coordinates, sets up and is responsible for preparation of meetings including documenting meeting minutes Assumes responsibility for the clerical end of maintaining office operations such as making appointments, contacting personnel and/or customers and notifying Manager and Director of unusual events that will impact the department. Responsible for assessing and maintaining department supplies. Assures that equipment and supplies pertaining to responsibilities are available and in operating condition. Assists with coordination and onboarding process of interns Checks and disseminates department mail daily Demonstrates a high degree of confidentiality in activities. Performs duties as a representative of the department as requested.

KNOWLEDGE, SKILLS AND ABILITIES

Administrative assistant must be able to handle multiple simultaneous tasks, prioritize work, remain functional under pressure, and adhere to strict timelines. Strong interpersonal skills and the natural ability to establish meaningful relationships with others are required.

Independent decision-making and the ability to work autonomously to complete tasks. Basic computer skills (i.e., data entry, email, calendar scheduling, word processing, spreadsheets and presentation software). Must have good command of English grammar and spelling accuracy. Must have strong organizational skills and ability to meet deadlines.

EXPERIENCE and EDUCATION

Required: 1-3 years of administrative assistant experience. Proficiency in Microsoft Outlook, Word, PowerPoint and Excel.

High School graduate or higher
