Summary:TheAdministrative Assistantwill assist the Directors of Construction Projects, Department Staff, Operations Specialists and Construction Accountants on a daily basis.

  • Oversee property projects and initiatives; manage filing, vendors, and act as the liaison between corporate and construction site teams.

  • Coordinate travel and schedule for the Directors of Construction.

  • Provide timely and effective communication (email, telephone etc.) with clients, design consultants, field personnel, subcontractors, suppliers, public officials, and internal team members. Process incoming mail, invoices and project billing.

  • Understand the functionality and processes of construction software.

  • Prepare and process Request for Information (RFI), Submittals, Contracts, Change Orders, and Purchase Orders, and maintain corresponding logs.

  • Work directly with the corporate construction team to help organize and manage daily tasks and initiatives.

  • Collect and organize project closeout information such as Warranties, Operations Manuals (O&M), as-built drawings.

  • Assist as required on pricing, receiving bids and bid analysis. Creating meeting minutes for all department meetings.

  • Partner with accounting to process monthly pay applications, invoicing, funding, payments and lien releases. Manage uploading of documents for close out of books.

  • Responsible for the administrative organization of the department and of all phases of the construction projects including, preparing and administering contracts, bids, accounting, data entry and filing.

  • Identifies and resolves problems in a timely manner; Gathers and analyzes information skillfully and develops alternative solutions.

  • Provides “World Class Customer Service” to those that they interact with and serve on a daily basis.

  • Generates new ideas to problems or innovates around already established approaches.

Minimum Qualifications:(To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)

  • Associate of Science Degree required

  • 5 years’ experience required

  • 2.5 years with USACE project experience required

  • Secret Clearance required
