Hours: 8:30am – 5:30pm Monday-Friday (including 1h break) Qualifications At least two years’ experience working in reception or customer service area preferred Excellent communicator – able to deal with people at all levels Fluent German speaker At least advanced knowledge in English Friendly, welcoming, confident, and assertive when needed Team player - experience and enjoyment of working as part of a team Ability to multitask, prioritise and manage one’s own time. Not a clock watcher or someone who is unwilling to step outside the job description Self-starter who has an appetite for learning and is driven to excel and grow Customer service focus – dedicated to meeting the expectations of internal customers and maintaining effective relationships with external customers Basic knowledge of computers for email, internet ordering and word processing. Key Responsibilities Ensure all incoming calls are answered promptly, in a courteous and professional manner, prioritizing as appropriate Log and greet all visitors, including clients, delivery persons, maintenance workers, etc. to ensure proper security is in place Book meeting rooms and manage their logistics including general set up/clean up of rooms, catering requests, liaising with Technology Services for audio and video conferencing requests Handling of incoming and outgoing mail and packages, incoming faxes, and large mailings Ordering, stocking and inventory management of office, kitchen and janitorial supplies Ordering of business cards and printed stationery Act as key operator of copy, fax, binding, shredding, and kitchen appliances Undertake training in office equipment and operation as necessary for other staff General and preventive equipment maintenance including coordination of repairs Daily maintenance of office space including light cleaning ensuring the office always remains as a safe and productive working environment, liaising with contracted cleaning services as needed, and enforce the firm clean desk policy Assist with facilities and equipment set up for meetings and firm functions Work effectively with all departments to handle requests and to fulfil common goals in a proactive and customer service manner Assist with appropriate waste disposal including recycling and shredding programs Assist with administrative tasks, for example Arranging domestic travel and preparing reimbursements Drafting letters and other simple documents Filing, photocopying and organizing case documents Answering phones, taking accurate and detailed messages Organizing and preparing materials for internal and client meetings Typing/formatting/proofreading documents R088354-tr R088354
