Summary:

Process multiple payrolls for company in a timely manner. Responsible for ensuring that all reports, audits, and taxes are completed and compliant with all state and federal regulations.

Essential Duties & Responsibilities:

  • Process weekly and bi-weekly payroll for employees across multiple states in an accurate and timely manner. As required, process certified and/or prevailing wage payrolls in an accurate and timely manner.

  • Manage payroll-processing schedule and ensure deadlines are met.

  • Reconcile and resolve complex processing and employee pay issues.

  • Assist in company audits to include payroll, 401k, workers compensation and related audits with external auditors.

  • Ensure payroll reporting and payments are compliant with generally accepted accounting principles, federal, state and IRS regulations.

  • Research and respond to inquiries from employees, managers or external sources, providing input and guidance for resolution of payroll related issues.

  • Generate Business Intelligence Reports daily to ensue employees are paid correctly in the system and calculating retro pay when necessary.

  • Review and load time files from UTM into UltiPro and Wennsoft.

  • Process and prepare special payrolls, including stock option exercises, bonus payouts and garnishments with the proper approvals.

  • Research pay information for employees, management, government agencies, which may include running reports or searching through payroll registers, W-2s, files, and reports.

  • Ensure PTO is available and correct prior to processing.

  • Responsible for resolving issues regarding direct deposits, lost checks or invalid checks.

  • Prepare new applications for Federal, State and Local tax jurisdictions, resolve any issues with tax filings, and reconcile tax withholdings.

  • Review multi-state payroll tax deposits each payroll according to prescribed rates, laws, and regulations through UltiPro reporting.

  • Facilitate and file quarterly and year end tax filings for federal, state and local tax agencies for payroll taxes as well as for employee W-2’s.

  • Import data (employee, pay, wennsoft, etc.) into systems and balance as required for accurate processing.

  • Resolve and reconcile any General Ledger discrepancies prior to posting to Financial Accounting systems.

  • Update unemployment rates in case management in UltiPro.

  • Provide support to payroll system users.

  • Have the ability to multitask and prioritize payroll requirements based on tight deadlines, and the ability to communicate with all employees and management, as needed.

  • HS Diploma/ GED required. Associates degree preferred.

  • 4+ years’ multi state payroll processing and payroll tax experience; experience using UltiPro software strongly preferred.

  • Experience in electronic time keeping systems, UTM strongly preferred.

  • Experience with Great Plains Accounting Software a plus.

  • Must have demonstrated at least intermediate knowledge of MS Office. Advanced knowledge of Excel strongly preferred. Job costing experience preferred.

  • Experience with certified payrolls, stock transactions, HSA’s, and FSA’s is strongly preferred.

Language Skills:

  • Ability to read and comprehend simple instructions, short correspondence and memos. Ability to communicate effectively whether orally or written.

Mathematical Skills:

  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area and volume.

  • Ability to carry out instruction furnished in written, oral or diagram form.
