Job Description

This is a flexible position that requires an ability to remain resilient and positive in a rapidly changing and challenging environment. Preference will be given to individuals who can demonstrate self-direction and a demonstrated ability to capitalise on the opportunities that such changes can provide for innovation and developing new ways of working.

Position Description

Responsibilities may include but are not limited to:

  • Handle physical documentation processing including Bills of Lading, Certificates of Origin and Customs Documents.

  • Working directly with the Letter of Credit Team to complete Documentary Letters of Credit as needed.

  • Recording operational information from cargo documentation into internal Trading and Shipping systems.

  • Maintaining storage inventory records for existing storage agreements.

  • Providing ad hoc support for the Commercial Operations team.

  • Draft, review and send spot and term sales & purchase contracts in close liaison with Commercial Advisors, ensuring that they accurately reflect the terms agreed by traders as recorded in the deal capture system.

  • Review and respond to non-standard counterparty contracts which may require directly seeking advice from the trader and the Commercial Advisor.

  • Ensure all trades and any amendments are properly documented and acknowledged in a timely fashion.

  • Target agreed KPI performance goals for contract drafting and dispatch.

  • Support the Commercial Advisors in providing pre. and post deal support to the business.

  • Maintain the complete electronic deal record for all trades including contracts, documents and amendments.

  • Maintain the physical records repository in the respective Trading & Supply hubs in accordance with the file plan.

  • Support the Commercial Advisor(s) in maintaining the contract and clause database as well as creating fit for purpose contract templates in consultation with Commercial Advisors.

  • Assist in training and supporting of new joiners to the Contracts team.

  • Maintain compliance with local implementation policies, manual of authorities and SOX controls.

  • Incorporate Shell’s five behavioural imperatives into daily work ethic (external focus, commercial mindset, delivery, speed and simplicity).

Requirements

  • Should ideally have relevant experience in energy /commodity trading or shipping environment in a legal/para legal, Operations or contract administration role.

  • Must have a flexible approach and be commercially orientated with the ability to work independently and as part of a team.

  • Must have the ability to prioritise work load and adhere to tight deadlines.

  • Must be able to demonstrate good attention to detail with good written drafting ability.

  • Capable of critically review contracts to identify issues and exposures and to draft constructive responses to mitigate or remove such exposures.

  • An ability to work under pressure.

  • Must have good communication skills, capable of engaging with traders and other stakeholders to ensure all contract are accurate and fit for purpose.

  • Proficiency in Microsoft Excel & Word.

  • Must be fluent English (written & verbal).

  • Evidenced ability to cover multiple roles, including roles on other desks and taking on additional projects.
