IBM Document Control Specialist Internship in CAMBRIDGE, Massachusetts

Job Description

This opportunity is for a Document Control Specialist Intern within the Compliance Department of Watson Health and will undertake various functions related to document control, document archiving, document imaging and maintenance of documents while adhering to good document practices. Specific responsibilities include accurate management and safeguarding of controlled records in a regulated environment in support of the day-to-day operations and in a manner that conforms to rigorous Standard Operating Procedures. Other responsibilities include creating and maintaining a comprehensive filing system and computer database for all controlled records to be retained in the Document Control

Office and managing the operation of the Document Control Office to ensure that the latest revision of appropriate controlled records are up to date, completely accounted for and readily retrievable. This includes, but is not limited to, the Capture, Validation, Indexing, Storage, Retrieval, Distribution, Security and Workflow components of the Watson Health Central Document Control Office across standard operating procedures, training forms, manuals, engineering/technical reports, correspondence and project management files


  • Full coordination and control of the flow (storage, retrieval, processing, printing, routing, and distribution) of electronic and paper documents in a secure and efficient manner, to ensure that they are accessible to authorized personnel as and when required.

  • Documented work instructions on the flow, storage, retrieval, processing, printing, routing, and distribution of electronic and paper documents in a secure and efficient manner.


  • Basic understanding of IBM’s Watson Health SOP processes

  • Project Management experience with a complex Document Control Office in the Health Care industry

  • Experience with Technical Writing, GxP, Quality Management Systems, HIPAA, Training Records, SOPs, etc

  • Relationships with all aspects of Watson Health product offering teams.

  • Relationships with IBM Watson Interns and Employees

Required Technical and Professional Expertise

  • Ability to prioritize, manage time well, multitask and troubleshoot

  • Strong interpersonal, communication and customer service skills are also essential

  • Must be computer-savvy and well-versed in Microsoft Office products

  • Basic analytical experience

  • Data organization and storage knowledge

Preferred Tech and Prof Experience

  • Experience with document control software and process map software a plus
