Olympus America Inc. Service, Process, and Systems Specialist in Center Valley, Pennsylvania

Job Duties::

As a Service Process and Systems Specialist working on the Technical Engineering and Quality team, you will be empowered and inspired to do your best work. You will contribute to our mission by identifying opportunities for continuous improvements, improving our internal and external customer experience, and aligning our systems for the long term strategy. In a typical day, you will:

  • Identify, analyze, and manually resolve system transactions that are held up, preventing invoicing.

  • Identify systematic improvements in collaboration with other groups, to prevent future re-occurrence.

  • Review processes, systems, and user experience to recommend improvements by conducting collaborative meetings with cross-functional teams and capturing workflows and requirements.

  • Document requirements for system changes & enhancements, define scope and objectives and formulate systems to parallel overall business strategies.

  • Lead the development and delivery of training to Field Service and Technical Assistance Center employees on all Service-related systems, including SAP, SalesForce, and EtQ.

  • Ensure that customers are invoiced in accordance with their contract entitlement and type of service.

  • Support Quality Specialist to help ensure all employees adhere to quality standards including the FDA Quality System Regulation and ISO 13485.

  • Support system implementations by understanding requirements and potential gaps, assist in developing IT requirements and test scripts, performing UAT, process updates, and creating and delivering training.

  • Collaborate with Pricing Manager, Program Management, Finance, ITS, as well as Service and Product Marketing to maintain and update Discount Code logic and supporting documentation for Service Delivery.

  • Monitor, report on, and resolve issues with trunk stock allocations for Field Service employees.

  • Ensure that the parts inventory is maintained and up to date.

  • Monitor and report on Field Service’s completion status related to Field Campaigns.

  • Serve as a liaison between Process Engineering, Quality, Field Service and TAC to provide scheduled reports and statuses on campaigns and ongoing initiatives.

  • Perform all other duties as assigned by management.

Job Requirements::


  • Bachelor’s degree in business or healthcare related degree, or equivalent knowledge is required.

  • Knowledge of FDA regulations, ISO 13485 and HIPAA for medical devices preferred.

  • Minimum 5 years’ experience working in a regulated environment such as FDA, ISO 13485, and/or medical device company is preferred.


  • Demonstrated ability in successful Software Implementation to include requirements gathering, system solutioning, process development and testing.

  • Strong project management skills, Six Sigma and/or Project Management Certification (PMP) preferred.Strong troubleshooting and analytic skills as well as excellent attention to detail.

  • High degree of personal organization and time management skills.Individual must have demonstrated ability to work well under pressure.

  • Must possess excellent communication (written and verbal), interpersonal and organizational skills.

  • Proficiency in Microsoft Office (Excel, Word, and PowerPoint), Visio, and MS Project Experience in developing spreadsheets and charts/graphs/pivot tables.SAP, SalesForce, and/or EtQ Reliance system knowledge preferred.

Ability to interact effectively with diverse groups of stakeholders, cross-functional teams and all levels of management.Individual must be flexible, a self-starter, team oriented, and highly motivated.

  • Proven ability to organize and run efficient meetings and training.

  • Strong multi-tasking capabilities.

The Service Process and Systems Specialist (SPSS) maintains responsibility for the review, analysis and evaluation of Service Delivery business processes, systems, invoicing transactions and user needs. This position will identify and drive enhancements and improvements in systems and processes. The incumbent will manage systems training development and delivery for all Service Delivery systems; SAP, SalesForce, and EtQ. Ensure Service transactions are accurately coded and invoiced to completion in the system. The SPSS will report to the Senior Manager of Technical Engineering and Quality.
