As part of a Wells Fargo Law Department, a Business Support Manager role is being created to operate as a key manager within the Strategic Legal Fees Management team which also includes these additional roles: reporting and analytics, strategy consulting and system administration. This role will focus on the receipt, analysis, audit and payment of legal related invoices, reporting and data analysis. This person will manage a team of nine paralegals who perform a thorough audit of invoices and who partner with our attorneys and our law firms to complete these activities. This individual will partner with Legal Operations, Law Department leaders and attorneys, Supply Chain representatives, vendors, and Outside Counsel to manage the end to end process of paying legal invoices. The position will report to the Business Initiatives Senior Manager for the Operations team of the Law Department.

Responsibilities include:

  • Manage a team of nine paralegals handling the daily production and audit process. Team processes over 100K detailed and complex invoices annually

  • Maintain and improve internal service level agreements for processing invoices in an accurate and timely way

  • Constantly evaluate and implement process improvements for the production process

  • Gain a mastery of the matter management and e-billing system, Passport, a software product of Wolters Kluwer.

  • Leverage latest technology for managing litigation budgets and refinement of invoice review

  • Have complete knowledge of the Law Department Outside Counsel Terms and Conditions. Make recommendations for change as necessary.

  • Partner with Accounts Payable on the domestic and international payment processes and requirements

  • Provide exceptional customer service to Law Department Attorneys, Law Firms and business units seeking information on Legal charges

  • Handle escalated billing disputes and invoice payment resolutions

  • Have a solid working knowledge of external matter spending budgets and seek opportunities for improvements

  • Partner closely with Law Department Practice Groups on their work and their future plans.

  • Use data and analytical tools to make decisions on workflow and the balanced level of work for the team

  • Identify and resolve process exceptions, invoice payment rejections and other invoice payment anomalies

  • Accomplish management responsibilities which include sourcing and hiring talented team members, providing ongoing coaching and feedback, recognizing and developing team members, identifying and managing risks, and completing daily management tasks.

Required Qualifications:

  • 4+ years of experience in one or a combination of the following: administrative support management, project management, business operations or strategic planning in financial services

  • 2+ years of leadership experience

  • Excellent verbal, written, and interpersonal communication skills

  • Advanced Microsoft Office (Word, Excel, Outlook, PowerPoint, and Access) skills

  • Outstanding problem solving skills

  • Good analytical skills including strategically analyzing data and diagnosing opportunities/interventions
