CBRE Administrative Assistant in Columbus, Ohio
The purpose of this position is to provide business operations administrative support to an office, brokerage department, and office management.
We are looking for a self-motivated and high-energy team member to take on multiple administrative support functions in a faced-pace commercial real estate office. This person must have the ability to quickly shift gears and coordinate a multitude of tasks within a busy, modern downtown office.
This position has room for advancement both in responsibilities and compensation.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Ensures a positive in-office experience for clients and employees by providing excellent customer service.
Maintains calendar and contact databases (CRMs), schedules appointments, completes travel or conference arrangements and may arrange meetings and conferences for an assigned work group.
Supports front desk functions in conjunction with receptionist. Answers, screens and directs incoming telephone calls. Responds to general inquiries and provides information as needed, while maintaining confidentiality of Sales, Marketing, Client and proprietary information and data in all communications.
Types, formats, produces, and proofreads documents such as business cards, proposals, presentations, correspondence, and standard reports.
Performs administrative duties specific to department such as, conducting research, updating databases, preparing collateral materials for mass mailings, and printing/binding books.
Maintains and updates relevant databases regarding property listings. Assists the Client Services Team with routine listing audits to ensure compliance by reviewing various databases including, but not limited to CoStar, Loopnet, Catylist, and corporate websites.
Completes expense reports using PeopleSoft systems and handles reconciliation of receipts for office management and sales professionals.
Supports regular real estate licensing audits for Ohio Sales Professionals while abiding by company policies as well as state laws.
Issues employee badges and assigns employee file drawers, lockers, and parking spaces.
Serves as a member of the local incident response team and aides in business continuity procedures.
Coordinates conference room schedules, prepares for client meetings, and assists in the planning of office events.
Provides assistance to the Client Services Team by updating existing templates to produce marketing materials including flyers, proposals, and tour books.
Other duties may be assigned.
No formal supervisory responsibilities in this position.

EDUCATION and EXPERIENCE
High school diploma or general education degree (GED) and a minimum of two years of related experience and/or training. Associate's degree (A.A.) or equivalent from 2-year college preferred.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Requires general knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS and ABILITIES
Intermediate experience with Microsoft Office Suite. Adobe Creative Suite experience is desired.
