The Hertz Corporation Executive Assistant - Corporate Finance in Estero, Florida

General Responsibilities

The primary mission of the Corporate Finance Executive Assistant is to manage the day-to-day operations of the Finance department. The successful candidate will have some autonomy and decision-making ability, which will include the authority to propose process improvements and the overall efficiency of the Corporate Finance group. The candidate must exercise the highest level of discretion regarding all meetings and documents. The candidate will assist Sr. VP, VP and Finance Business Partners in collaborating with the business to provide improved value. The candidate will have a general understanding of all aspects and administration of the Finance support function including policies, procedures, and processes; will also support the Finance Team in creating/developing efficiencies.

Mandatory Requirements

Key result areas:

  • Coordinate functions and support Finance strategies and initiatives.

  • Identify opportunities to create efficiencies and add value to the business as well as the Finance team.

  • Support and Interact with employees, senior management and vendors.

  • Coordinate and assist with projects such as: on-boarding, new hire support; Requisition approvals and metrics, technical support and other finance projects.

  • Provide basic technical support and act as link between end users and higher-level support

  • Collaborate with other IT Departments to maintain standards and functionality

  • Administer and track employee leaves of absence ensuring compliance with all federal, state and local laws. Communicate updates with responsible managers so there is a full awareness of an employee’s status and work dates.

  • Coordinate and track all seating placements within Finance departments. Ensure all approvals are correct and current.

  • Coordinate and schedule activities such as meetings, travel, and department activities for members of the Financial Planning and Analysis and finance departments.

  • Prepare monthly, close, quarterly and board of director’s binders.

  • Create and develop visual presentations.

  • Work independently and within a team on special and ongoing projects.

  • Act as a project manager for special projects, which may include: planning and coordinating multiple presentations and disseminating information

  • Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.

  • Additional duties or special projects as assigned.

  • Manage and coordinate interns within FP&A Organization to maximize their opportunities with Hertz while helping finance department.

Educational Background:

2 years’ college education preferred

Professional Experience:

Previous experience working in a Human Resource environment (Preferred)

Previous Administrative Experience at a High Level – minimum 6 months
