Job Summary

AECOM is seeking a Facilities Asset Coordinator to join the Shared Services team supporting our pharmaceutical facility maintenance operation in Groton, CT!

  • Typical work hours are 7:30am – 4:00pm; hours may vary based on business demand.

This position is responsible for all aspects of regulated and non-regulated facilities asset management, including but not limited to: onboarding, tagging, tracking asset property changes and decommission/retirement of all related assets. Acts as a support role to subject matter expert and is an additional point of contact for all asset management tasks performed in EAMS.

Works closely with engineers and maintenance team colleagues to support work process and project-related tasks. Assists with Temperature Sensitive Equipment (TSE) workflow in terms of Add, Change, Decommission Delete (ACD) and process coordination. Provides project support for facilities maintenance team with respect to pre-inspections, AHU upgrades, kilo lab, etc. Assists Facilities Solutions project teams by providing asset information to properly update finance registers.


  • Perform data remediation at Groton campus and CRU facility in New Haven, CT for Regulated and Non–Regulated Maintenance Services and Utilities departments.

  • Work closely with engineers, utilities group, and various project teams to capture new installs during renovation and equipment change outs.

  • Perform high volume field work related to different job requests including but not limited to construction areas, underground space, mechanical spaces, roofs, electrical rooms, power house and outdoors.

  • Ensure proper use and knowledge of project drawings and site prints.

  • Submit requests to add new equipment to Preventive Maintenance (PM) schedules and remove decommissioned equipment from PM schedules.

  • Work with contractors to locate equipment during monthly and yearly testing, such as fire damper testing, hood testing, etc. Record and maintain results within EAMS per contractor’s reports and field findings.

  • Work with Space Management to review outdoor spaces using site grids for underground and outdoor assets not tied to buildings, such as steam vaults, heat traces, etc.

  • Build asset hierarchy for systems and maintain data using required nomenclature within EAMS database for all site use.

  • Use correct terminologies required by management, P&IDs and project drawings to determine correct labeling for assets and components.

  • Assign department’s charge code to individual assets for accurate work order charge back.

  • Follow all required instructions in GxP areas per posted signs and policies.

  • Print and place required bar code labels with asset description on 2x2 or 4x4 metal plates and affix to field equipment with aluminum tie for proper identification.

  • Submit work orders for Add, Change, Decommission Delete (ACD) form on customer’s behalf for addition/decommission and/or modification of assets.

  • Manage Temperature Sensitive Equipment (TSE) work orders.

  • Ensure temperature transmitter installs/removals, initial /final calibrations, Building Management Systems (BMS) connection/ disconnection, Honeywell installs and compliance validations are completed on all GxP refrigerators/freezers/ incubators as appropriate for each work order request.

  • Create and monitor demand work orders as needed while communicating with customers when the equipment has been transferred to aid in NOEM (notification of equipment move) approval.

  • Schedule with Move team for delivery /removal and relocation of Temperature Sensitive Equipment (TSE) assets.

  • Physically examine the equipment to ensure that it has been decontaminated and fully disconnected. Contact the appropriate personnel to schedule decontamination if necessary.

  • Tag Assets at final lab/facility location.

  • Ensure safety and Standard Operating Procedures are followed at all times.

Minimum Requirements

  1. Associate’s Degree in Business, Construction Management, Facilities Management, or a related field, or demonstrated equivalent combination of education and experience.

  2. Three years of experience in asset management in a construction or facilities management related field, or demonstrated equivalent combination of education and experience.

  3. Working knowledge of a CMMS (computerized maintenance management system) such as EAMS, MAXIMO, or related database systems.

Physical Requirements:

  • Some tasks will require repetitive wrist movement.

  • Requires ability to read and understand information contained in a variety of documents or displayed on a computer screen.

  • Requires ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents.

  • Requires ability to attend meetings throughout the site and potentially travel to other AECOM, customer and/or vendor locations in the area, as well as some air travel to more distant locations.

  • Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings and presentations.

  • Demonstrated fluency in computer use including the full Microsoft product line.

  • Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.

  • Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.

Special Requirements:

  • Wear steel toe safety shoes, safety glasses, gloves and other Personal Protective Equipment as needed.

  • Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained.

Preferred Qualifications

  1. One year of experience in maintenance, repair, and operations (MRO) asset management.

  2. Proficiency in Microsoft Excel, Word and Outlook.

  3. Experience tracking KPI’s for maintenance leadership, include MTTR, MTBF, and Down Equipment hours.

  4. Experience creating Power Point presentations.

  5. Ability to make sound business decisions based on priority and demand.

  6. Experience in a role where communication (verbal, written, listening) was key to successful results.

  7. Ability to work with several customers at one time, coordinating with manufacturers, maintenance, vendors and facility engineers with the end result of total customer satisfaction.

  8. Experience working under a structured safety program.
