Job Description

New hires in office-based roles in the US & Puerto Rico will be required, subject to applicable law, to demonstrate that they have been fully vaccinated for COVID-19 or qualify for a medical or religious exemption to this vaccination requirement that can be accommodated without an undue burden to the operation. Position Description: Senior Secretary

Duties & Responsibilities include:

  • Perform the function of a confidential Admin for all departmental business and reports directly to the Department AD.

  • Act as the departmental liaison for all visitors, contractors, vendors, etc.

  • Coordination and management of calendars, meetings, and schedules.

  • Maintain inventory, ordering all necessary supplies, equipment, and uniforms for the department.

  • Input purchase orders, invoice tracking, receive deliveries.

  • Assist in training coordination, development of presentations and metrics for review.

  • Coordination and preparation of travel arrangements, expense reports, approval, and payment of invoices; prepares requisite materials. Database updating and data entry in all department systems.

  • Organize and participates in regular department meetings and functions. Expected to help prepare for many of these meetings and coordinates/distribute/track follow-up items from meetings.

  • Provide general administrative support such as answering phones, mailing, filing, photocopying, setting up meetings and interviews. Create efficient office procedures, filing systems, reports and record keeping methods, as necessary.

  • Maintains regular and effective communication with manager and supervisors.

  • Works with time sensitive and confidential information.

  • Assist with the Lenel Access and Badging Program.

  • Manage Lost/Found, Camera Pass and Lock programs.

  • Assist with managing the Long Term and Medical Drive-in programs.

  • Track Vacation times for all department employees.

  • Manage Verizon account and payments.

  • Maintain a strict work schedule for yourself and the department.

  • Perform all required training (My Learning, Safe by Choice, etc.) and follow up work.

Position Qualifications:

Education Minimum Requirement:

  • High School Diploma or equivalent.

Required Experience and Skills:

  • Microsoft office proficiency, attention to detail and excellent interpersonal skills.

  • Excellence in grammatical skills, formatting of documents and communications.

  • Will be required to undergo a security background check for department employment.

  • Must maintain a high level of confidentiality.

  • Experience managing projects.

  • Active listening skills with the ability to understand other perspectives, needs, or expectations

  • Proactive in ensuring timely follow through to customer inquiries or business needs, while at the same time adding value.

  • Focus on delivering results while striving to continually improving performance.

  • Must have COVID Vaccination or HR approved exemption.

  • Minimum of five (5) years related experience in a corporate environment.

Preferred Experience and Skills:

  • Understanding of Security and Emergency Services and their associated systems/software.

  • Prior confidential position experience.

  • Higher education is preferred but not required.
