The senior administrative assistant supports executive(s) and their direct reports in maintaining the routine functions of the workday. The administrative assistant must exercise excellent judgment and communication skills to deal with a broad spectrum of people. This position handles sensitive and confidential information regularly, so diplomacy, tact, and discretion are essential skills.

Primary Responsibilities:

  • Meet regularly with the Executive to discuss administrative and scheduling needs
  • Arrange and coordinate meetings, schedule appointments, and maintain calendar to ensure there are no scheduling conflicts, appointments are on-time, and materials are available
  • Create agendas, take notes and summarize discussions at various meetings and establish follow up action items
  • Make travel and accommodation arrangements
  • Manage expenses/expense report process
  • Plan, organize and coordinate team off-site meetings, dinners and other events
  • Maintain email aliases for multiple teams including personal rostersCreate presentations/decks from existing materials
  • Juggle competing demands and constituencies while keeping Executives abreast of any important information/changes

Required Qualifications:

  • High School Diploma/GED or higher
  • 2+ years of administrative assistance or clerical support
  • Intermediate knowledge of Microsoft Office Suite (create, edit, format, schedule, etc.)
  • Experience supporting multiple people and maintaining several complex calendars (scheduling appointments/meetings, arranging travel, etc.)
  • Proven ability to anticipate needs, have a sense of urgency, be proactive, and conscientious
  • Exceptional time-management skills

Preferred Qualifications:

  • Bachelor’s degree
  • Ability to work in a fast-paced environment while juggling and prioritizing multiple, competing tasks and demands and to seek assistance as appropriate
  • Full COVID-19 vaccination is an essential job function of this role. Candidates located in states that mandate COVID-19 booster doses must also comply with those state requirements.
