Job Description

Global Development Quality (GDQ) is part of the larger Research Laboratory Quality Assurance and is made of up six organizations. Overall, the GDQ team ensures rapid and compliant delivery of clinical supplies and new product filings through collaborative partnerships and is focused on quality oversight of manufacturing, packaging and labeling, testing, and release of materials from early- to late-stage clinical trials conducted across the globe for small- and large-molecule (biologics and vaccines) development compounds (API/drug substance, drug product, finished good) throughout our internal and external network.

The Senior Associate, Administrative Services, Quality Assurance reports into the Compliance and Quality Management System (CQMS) organization within GDQ and provides administrative support for the Executive Director, CQMS, Executive Director, GDQ Operations and Executive Director, Development Commercialization Teams, Data and Facilities (DDF).

The primary activities include but are not limited to the following -

  • General administrative duties.

  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills. Utilizes network and resources to help in completing assignments and solving problems.

  • Develop reports, presentations, tables, graphs, correspondence and conduct light research using appropriate software.

  • Works in teams or independently as needed and as relevant to complete work assignments and various tasks.

  • Calendar scheduling/planning; coordinating and scheduling complex multi-leg and international travel arrangements.

  • Planning and scheduling of recruitment activities for both internal and external candidates and the associated administration of interview documentation

  • Supports Health Authority inspection activities as requested by area management.

  • Coordinates special projects.

  • Understands customer needs and identifies solutions to non-standard requests by utilizing basic knowledge of Functional Area procedures, processes and practices.

  • Under the direction of area management, implements decisions made by quality assurance senior staff.

  • Partners with others to accomplish quality goals

  • With the guidance of senior of our Research & Development Division QA staff, develops leadership skills.

  • Provides back up support for other administrative team members within the GDQ organization, as needed.

  • Teams up with other departmental administrative assistants to ensure consistency across organization, adapt to new administrative tools or processes and seek ways to improve.

Education:

  • High School Diploma

  • Preferred: Postsecondary education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required Experience & Skills:

  • Minimum of (5) years Administrative Assistant experience

  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Experience processing Visa and Passport applications

  • SAP experience: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms

  • Communication should be at a level to effectively interact with internal quality assurance staff as well as key business partners and staff external to the company.

Preferred Experience:

  • Minimum of 3 years administrative experience supporting Executive Directors/Directors.

  • Basic knowledge of cGMPs.

  • Prior background directly related to quality assurance, quality systems, auditing, quality management systems or other GxP compliance activities.

  • Background in financial and budget tasks

  • Demonstrates basic knowledge related to Functional Area(s) they manage.

  • Demonstrates basic regulatory knowledge of areas they support and by request of area management, as well as Health Authority Inspections.

  • Ability to utilize resources to support work products in accordance with timelines and appropriate regulations.
