Job Description

New hires in office-based roles in the US & Puerto Rico will be required, subject to applicable law, to demonstrate that they have been fully vaccinated for COVID-19 or qualify for a medical or religious exemption to this vaccination requirement that can be accommodated without an undue burden to the operation. Position Description:

Vaccines Communications - Candidate must possess the ability to work in a fast-paced, highly visible, extremely confidential environment with the ability to work in an agile environment, responsible for supporting a large team.

Responsibilities include:

  • Supporting a team of 12 communications professionals (direct and dotted line to the department) where the candidate is responsible for general administrative duties

  • Schedule complex, multi-leg and international travel

  • Work closely with communications team to keep the team on course with processes and calendar events

  • Produce/complete various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.

  • Develop reports, presentations, tables, graphs, correspondence and conduct light research using appropriate software.

  • Extensive collaboration with leadership team members and their assistants to organize communications related events

  • Prepare, process and reconcile expense reports, purchase orders and payment requests as needed within ARIBA/COMET/SAP

  • Main contact for the centralized Human Health promotion project system by overseeing and organizing multiple large budgets which includes tracking and monitoring invoices, entering and updating projects in COMET/SAP, tracking and phasing budgets on a monthly basis.

  • Ability to work with communications agency partners to effectively manage budgets.

  • Assist with the implementation of special projects and events

  • Coordinate and perform multiple tasks while understanding the project principles and technical skills related to own work assignments

  • Work priorities and activities are reviewed with little supervision

  • Produces/completes various work assignments requiring analytical ability, independent judgment, creativity and problem-solving skills

  • Creating and distributing highly confidential correspondence and materials, monitoring and screening communications for action or delegation

  • Respond effectively and in a timely manner to numerous internal and external stakeholders

  • Create, maintain and work with multiple distribution lists to support email communications for the organization.

  • Collaborate across a matrixed environment while effectively managing issues within the communications team – ie) AMEX corporate card disputes, STS COE ERP-EEM and Procurement

  • Manage Vaccines Communications Team Site/Sharepoint site

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel

  • Process Visa/Passport Applications for domestic and international travel of team

  • Ability to work a hybrid schedule which will require weekly presence in the office and the fleixbility to travel between the PA and NJ sites when neccesary.

Position Qualifications:

Education Minimum Requirement:

  • Required: High School Diploma

  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

Required Experience and Skills:

  • Minimum of (10) years Administrative Assistant experience and five (5) years Administrative experience supporting Sr. Directors / Executives

  • Budget and finance experience – This includes the ability to oversee and organize multiple large budgets and work in partnership with communications agencies

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other related programs.

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel

  • Experience processing Visa/Passport Applications

  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP

  • Ability to handle and prioritize many simultaneous assignments

  • Strong Event Planning/Coordination experience which includes the ability to manage multiple, complex calendars across the department

  • Extraordinary attention to detail and ability to be forward leaning and thinking

  • Outstanding communication and people skills are necessary for daily interaction with divisional president, global brand leaders & their assistants

  • The person must be able to work independently and be a “self-starter” with the strong ability to prioritize.
