The Business Service Liaison (BSL) will coordinate onboarding, offboarding, and asset management. In addition, will help support the Leadership team by managing schedules, delegated approvals, and additional various administrative activities and support. Candidates will need to adapt to operate in a fast-paced and dynamic environment with a proven track record of working with on-site and remote team members. This position would need to maintain loaner laptop connectivity and inventory of the office equipment.

Primary Responsibilities:

  • Manage calendars, coordinate travel, prepare expense reports
  • BSL onboarding and offboarding of team members including asset management and replacement, asset recovery/return
  • Create/prepare meeting materials and ensure distribution to appropriate individuals in a timely mannerEnsure meeting participants (e.g., external customers; executives) have appropriate access to facilities and systems (e.g., issue security badges; request building access; internet access)
  • Plan and organize logistics of large and/or offsite events
  • Compile and/or integrate information needed to prepare reports and presentations
  • Review documents to ensure accuracy and quality, and revise as needed
  • Schedule and set-up resources and technology needed for meetings and events (conference rooms, catering, Microsoft Teams meetings, etc.)
  • Independently perform varied administrative duties related to functional area
  • Interact with individuals at all levels of the organization; represent the team with professionalism and integrity
  • Handle highly confidential information discreetly
  • Greet visiting clients, guests, and employees
  • Anticipate customer needs and proactively identifies solutions
  • Solve complex problems on own; proactively identifies new solutions to problems
  • Collaborate with administrative support team members to provide back-up support as needed

Required Qualifications:

  • High School Diploma / GED or higher level of education
  • 5+ years of experience supporting senior leaders in an administrative capacity in a fast-paced environment
  • Experience supporting multiple executives, with multiple priorities in a fast-paced environment
  • Experience delivering a high level of internal and external customer service
  • Intermediate or higher level of proficiency in Microsoft Office suite: MS Word (create and edit correspondence), MS Excel (create, edit, and sort spreadsheets), MS Outlook (email and calendar management), and MS PowerPoint (create and edit slides)
  • Detail oriented
  • Organized
  • Comfortable with technology/systems
  • Experience training/onboarding/off-boarding employees
  • Experience with asset management and replacement, asset recovery/return
  • Customer service oriented and professional
  • Comfortable with ordering furniture, supplies, telecom, software, hardware etc.
  • Experience working with Real Estate/Facilities Services – building access, move process.
