The Optum Care Transformation Office (OCTO) supports Optum Care’s transformation and unification efforts by enabling and aligning on a single, scalable Optum Care operating model powered by innovative capabilities and technologies, delivering value through revenue growth and realizing cost efficiencies.

The Sr. Administrative Assistant will report into the Optum Care Transformation Office (OCTO) under the supervision the Executive Project Coordinator. The incumbent will provide administrative support and business segment liaison support across the OCTO team at the direction of the Executive Project Coordinator.

The incumbent will demonstrate a commitment to UHG’s values of Integrity, Compassion, Relationships, Innovation and Performance, and will incorporate these values into interactions with patients, customers, clients / stakeholders, colleagues and vendors on a consistent basis.

Primary Responsibilities:

  • Traditional administrative / clerical support roles including answering the telephone, typing / word processing of documents, simple PowerPoint creation/editing, maintaining calendars, setting up internal and external meetings, making travel arrangements, greeting visitors, setting up files, tracking and submitting expenses, and coordinating building and equipment maintenance to optimize effectiveness of executives.
    • Partner with executive project coordinator to drive organization and time management efficiencies through calendar prioritization, effective readiness, and proactive support
    • Support procurement requests including contract submission and efficient processing of invoices
    • Provide meeting logistics support including setting up and monitor web casts, prepare, and provide meeting materials, ensure audio visual and telecom needs are met, and secure rooms and catering as needed
    • Monitor emails and messages as needed during core and some non-core hours
    • Collect needed data and content for monthly, quarterly, and ad hoc executive and business reporting
    • Ensure effective utilization of technology tools
    • Ability to maintain and update the SharePoint and Teams site
    • Ad hoc requests as determined by executive project coordinator
  • Act as the Business Systems Liaison (BSL) for teams within the OCTO
    • Manages onboarding experience and assist hiring manager with all sourcing and systems access
    • Act as communication point for new technologies and initiatives being introduced by UnitedHealth Group IT
    • Ariba and Service Request Center for all supply and IT-related requests, and are expected to follow the correct procedures to complete and submit Service Requests

Required Qualifications:

  • High school education or equivalent experience
  • 3+ years of executive assistant experience supporting c-suite level executives
  • Intermediate Microsoft Word proficiency: create and edit documents from scratch
  • Intermediate Microsoft Excel proficiency: create spreadsheets from scratch, create and edit formulas, and manipulate expense reports
  • Intermediate Microsoft PowerPoint proficiency: create and edit PowerPoint slides to utilize in executive and staff meetings
  • Advanced Microsoft Outlook proficiency: complex calendar management including meetings, travel and conferences
  • Ability to be in the office 2 or 3 days per week (Eden Prairie, MN)
  • Full COVID-19 vaccination is an essential job function of this role. Candidates located in states that mandate COVID-19 booster doses must also comply with those state requirements. Preferred Qualifications:

  • Bachelor’s degree
  • Business Segment Liaison experience (if internal)
  • Experience in coordinating projects to meet deadlines with successful measurable outcomes
  • Experience in a health care environment
