Job Description:

Leidos is looking for a high performing candidate to fill an administrative position supporting the nation's nuclear deterrence mission with the National Nuclear Security Administration (NNSA) Office of Defense Programs supporting Systems Engineering on a major weapon acquisition program. The Executive Administrative Assistant/Analyst will manage activities contributing to the successful execution of a nuclear deterrence program, be responsible for maintaining and coordinating routine deliverables for the Federal program managers, support the creation of analytical tools that provide both data driven and graphical dashboard insight for program metrics, technical milestone status to be used by both internal and external customers. Working with a high caliber and collaborative team, this role provides a combination of administrative and analytical support expertise to the federal program manager and project engineers. Additionally, establish yourself as the programmatic liaison with project engineers at the national security laboratories and nuclear weapon production facilities who are engaged in managing technical work to modernize our nuclear weapon stockpile. This position requires an experienced person with demonstrated administrative and technical systems engineering knowledge ideally developed during engagement with Federal and/or Defense agencies.

This position requires an experienced person with demonstrated administrative and analytical expertise, superior professional demeanor, the ability to learn and accomplish a wide variety of day-to-day responsibilities that ensure program success. Key attributes include initiative as well as critical thinking to identify and prioritize actions to assist the federal program managers to be successful in achieving program goals.

This is a full-time contractor-support position located on-site at the NNSA offices in Albuquerque NM.

Primary Responsibilities:

  • Using advanced computer skills including information and data management, managing data, setting up and troubleshooting electronic processes to streamline procedures.

  • Managing schedule of meetings and actions.

  • Arranging classified and unclassified conferences and meetings, and Tri-annual Program Reviews.

  • Developing and presenting training material

  • Assisting Federal staff to prepare briefings, uploading materials and slides for meetings.

  • Working with Federal and contract staff to oversee deliverables and actions due to management.

  • Assist with reviewing and compiling program execution metrics using Excel and PowerPoint.

  • Working in NNSA Milestone Reporting Tool to pull reports and track program milestones.

  • Determine topics presented at meetings and facilitate quarterly, tri-annual, and 6.X key system milestone presentations.

  • Develop, facilitate, and track strategic program execution activities for federal program engineers utilizing created analytical tool dashboards.

  • Coordinate with technical leads to ensure deliverables are on track.

  • Coordinate with line managers & technical staff to receive quarterly updates by critical deadlines.

  • Managing a wide range of management and administrative duties (travel, calendars. Correspondence, organization charts, telephone lists) in support of the office

  • Using ConcurGov travel system to manage and track travel expenses.

  • Managing classified and unclassified document within NNSA SharePoint Portal.

  • Managing physical security of classified safe and administering security procedures for access to controlled areas.

  • Protect integrity, authenticity, and confidentiality of records in accordance with established procedures.

  • Facilitating correspondence and communication including preparing briefings, memos, and correspondence with minimal oversight, as well as accurately compose and prepare effective correspondence and reports.

  • Maintaining awareness of and competence in headquarters initiatives for communication and information sharing.

  • Maintaining attention to detail in a multi-project work environment, with potential frequent interruptions, with competing needs requiring clear understanding of prioritization.

  • Ability to exercise mature judgment and make independent decisions in accordance with established policies, rules, and procedures

  • Ability to work in a team environment, interacting with a range of federal and contractor staff

  • Working with W80-4 M&O contractors, on behalf of the Federal Program Office, to oversee deliverables and actions due to the W80-4 Deputy Program Managers.

  • Data analytics, draft, and review technical, programmatic, and budget briefings, white papers, narratives, and other deliverables that are both periodic and ad hoc in nature.

  • Lead, coordination, facilitate, organize, and execute Triannual Program Reviews with Project Teams, Integrated Product Teams, and Product Realization Teams.

  • Manage W80-4 Directory to include internal and external partners at all sites.

  • Manage and maintain collaborative resource on the W80-4 Max.gov website space

  • Analyze and track Gate and Review performance for all components including schedules, package receipt, and Action Items. Provide customer with monthly updates with regard to program health related to Gates and Reviews.

  • Draft analytics based on the Manufacture and Technology Readiness Levels from each Product Realization Team and compile it into a consolidated report for the customer.

  • Develop Plan of Action and Milestones (POAM) with Issue paper Actions and Mitigation efforts, ensuring sites are providing timely updates. Provide customer with status updates.

  • Provides program coordination for weapon Engineering Department to sites to address programmatic requirements and inquiries.

  • Facilitates strategic communication of programmatic information within program offices and with internal and external organizations.

Basic Qualifications:

  • Minimum of 2-3 years of related analytical experience developing SQL data bases required.

  • Minimum of 5-7 years of related administrative support experience required.

  • Minimum of 5-7 years of experience working in classified and unclassified environments.

  • Excellent written and verbal communication skills, with demonstrated experience developing briefings.

  • Must possess strong organizational, interpersonal, technical, and data analytics skills.

  • Proficiency in the Microsoft Office suite (MS Word, MS PowerPoint, Outlook, and MS Excel) with particular emphasis on word processing, presentation, and spreadsheet applications required and proficiency may be tested.

  • Proficiency in Adobe Acrobat Pro

  • Experience with administering security processes that ensured security and integrity of classified systems, hardware and data in accordance with established procedures.

Preferred Qualifications:

  • Related experience in a government, DOE, or military office.

  • Bachelor’s degree in a related field

  • Nuclear weapons program experience.

  • Interagency experience.

Active DoD TS and/or DOE Q clearance required.

Pay Range:

Pay Range $60,450.00 - $93,000.00 - $125,550.00

The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
