Novartis protects 766 million patients and employs more than 100,000 employees in over 140 countries.<br><br>Job Purpose<br>The incumbent provides senior-level administrative support to the Global Head of Leadership Development CoE (Center of Expertise, part of the Talent & Transformation function in P&O) in Cambridge, MA. This role includes interacting with all levels of management both within P&O as well as across all Novartis business units.<br>The successful candidate must represent the department in a self-directed and mature manner with tact, discretion, and strong judgment. This role will handle a variety of sensitive and confidential matters. They also must manage concurrent assignments with competing priorities in an intermittently fast-paced environment, including:<br><br>• Coordinating all administrative support for the Global Head of LD as well as elements of support across the LD CoE; supporting other senior members of Talent & Transformation CoE when in Cambridge for meetings/events<br>• Managing the Global Head’s of LD’s calendar, including preparing, organizing, and collating documents and other background information in advance of meetings;<br>• Coordinating and scheduling domestic and international travel for the Global Head of LD<br>• Preparing and submitting expense reports and monitoring approval flows relating to travel and other expenses of the Global Head of LD<br>• Calendar, meeting scheduling, travel and expense support on an as needed basis to other US based senior members of Talent & Transformation CoE (i.e. R&D Head of Talent)<br>• Management of LD CoE team meetings and attending meetings, including taking meeting minutes, distributing them in a timely manner, and keeping action items updated;<br>• Management of SharePoint and Teams sites; <br>• Collaboration with Talent & Transformation Administrative team; and other Exec and Administrative teams across Novartis <br>• Support of Global LD email-boxes, support communications on behalf of Global Head of LD<br>• Event management of Leadership Development offsites <br><br>While Novartis does not require vaccination for Covid-19 or proof of a recent negative test result for Covid-19 at this time, employees working in customer-facing roles must adhere to and comply with customers’ (such as hospitals, physician offices, etc.) credentialing guidelines, which may require vaccination.
