The selected candidate must be willing to commute (driving distance) and be local to the San Mateo, California WEWORK office. Travel into the office will be as needed or a few days per week.
Ensure efficient operations for the California-based office and maternal health business unit, by completing and continuously improving administrative processes and data systems including sharing of best practices.
Office management responsibilities including overall administrative support for Company’s San Mateo WeWork Office: maintaining and ordering supplies and equipment for office and engineering space, mail and package administration, maintain connection with WeWork management, local event planning.
Support field logistics for US maternal health sales organization, including organizing and executing event logistics for Sales Training and other field meetings, payment processing for local conferences and exhibits, and new sales hire onboarding.
Create customer value by supporting/completing administrative work of business unit Leader(s), including calendar, travel and expense management, so they can focus on internal clients and their teams.
Coordinate staff meetings and off-sites (agendas, pre-reads, event logistics as needed, etc.)
Schedule complex, multi-leg, and international travel.
Support the use of Team Sites, and the ability to strategically learn, leverage, and share technology.
Communication Skills must be at a level to effectively interact with our Company's executives and internal/external clients both on-site and remotely to maintain workflow.
May coordinate special projects within the division/area such as events (e.g. a national sales meeting, new product launch, etc.)
Engage with and provide cross-support to US Commercial administrative assistant team.
Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
Work priorities and activities are reviewed with little supervision.
Education Minimum Requirements:
Required: High School Diploma or Equivalent.
Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification, etc.)
Required Experience and Skills:
Minimum of 3-5 years’ Administrative Assistant experience.
Advanced computer skills using (MS Outlook, Word, Excel, PowerPoint) and operation of other internal systems.
Demonstrated experience scheduling and coordinating complex travel.
Ability to handle and prioritize a large number of simultaneous assignments.
Event Planning/Coordination experience.
Extraordinary attention to detail.
Outstanding communication and people skills.
Preferred Experience and Skills:
Budget/Finance Management experience.
Experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports
Project management experience.
Experience supporting remote and field-based sales teams.
