In rapidly evolving markets and healthcare systems, effective global public policy engagement is essential for our Company's continued success. We engage with government representatives, patient groups, academic leaders, health care professionals, regulators and other stakeholders to gather insights on patient’s access to our Company's medicines and vaccines. The Global Public Policy team interacts with colleagues across all divisions of our company to integrate their perspectives into our policy development and advocacy. Our goal is to align as a cohesive team with clear priorities and a shared strategy to execute on our vision.

Position Description:

We are seeking a talented and motivated Senior Associate - Administrative Services to provide comprehensive administrative support to approximately two Executive Directors and six Directors in Global Public Policy. The position will report to one of these executives. The successful candidate will have a demonstrated expertise in similar roles, with a track record of strong performance and problem-solving. The position requires the ability to work independently, take initiative, and collaborate with colleagues from around the Company. It also requires good judgment, confidentiality, strong work ethic, a high degree of accountability, excellent organizational and information technology skills, and an understanding of how to move complex projects forward in a highly-regulated industry.

Primary activities include and are not limited to the following:

  • Coordination and completion of complex, multi-leg international travel;

  • Expense reporting;

  • Coordination/logistics of our Company's global meetings and other visitors to Washington, DC office;

  • Procurement, processing sponsorships, and budget tracking using SAP using internal SAP-based systems;

  • Meeting and calendar management;

  • Other internal (e.g., videoconferencing, equipment trouble-shooting, new employee on-boarding) and external support (e.g., visas, passport renewals); and

  • Special projects within the division/area, as requested.

Candidates will be expected to work independently and deliver on priorities with little supervision. The ideal candidate will produce/complete various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills. Candidates should be familiar with MS Office tools (e.g., Outlook, Excel, Teams) and SAP-based support tools (e.g., Concur, Ariba).

Candidates should possess strong communication and interpersonal skills to effectively interact with our Company's executives and colleagues both onsite and virtually to maintain workflow.

Position Qualifications:

Education Minimum Requirement:

  • High School diploma

  • Preferred: College-level coursework and/or certifications (e.g., Certificate in Basic Contracts)

Required Experience and Skills:

  • Minimum of (10) years Administrative Assistant experience;

  • Minimum of (5) years Administrative experience supporting Executives;

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and demonstrated successful operation of SAP-based internal management systems;

  • Demonstrated successful experience scheduling and coordinating complex, multi-leg domestic and international travel;

  • Experience processing visa/passport applications;

  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP;

  • Ability to handle and prioritize many simultaneous assignments;

  • Event planning/coordination experience;

  • Extraordinary attention to detail;

  • Outstanding communication and people skills;

  • Ability to work as a team with the other Administrative Assistants across our Company; and

  • Budget/Finance Management experience.
