Description

This position provides full administrative support within the Human Health organization. The position will report to the Associate vice President – Global Oncology Marketing. While this position reports to the AVP, the expectation is the person in this role will support multiple people on the team.

The ideal candidate is a highly motivated and polished professional capable of prioritizing work, demonstrates exceptional organizational and proactive problem-solving skills, professional communication skills, flexibility and teamwork.

The primary activities include and are not limited to the following:

  • General Administrative/Clerical duties.

  • Calendar management which reflects the business priorities of the team and supports efficient use of time. Includes the scheduling and handling of logistics for department meetings and events.

  • SAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP

  • Support the professional management of external client meetings by preparing in advance relevant meeting materials, bios and travel documents, scheduling conference rooms, making AV arrangements and ordering catering services.

  • Support virtual meetings using the latest technologies for WebEx, Teleconferences and Webcasts, ensuring seamless execution of logistics.

  • Scheduling and coordinating complex, multi-leg domestic and international travel, including visa/passport procurement and expense reporting.

  • Develop and organize departmental files, including the support and use of team sites.

  • Provide confidential executive administrative support in handling a variety of Workday requests – for new hires, promotions, lateral moves and departures, awards, and other HR-related activities.

  • Support executive communications and presentations using excellent command of computer software programs.

  • Communication skills must be at a level to effectively interact with senior executives and internal/external clients, including external health care thought leaders.

  • Expense management and financial budget support including inputting data into SAP budgets, accurate management of POs and international cross-charges, and running monthly reports, while flagging and resolving issues. Coordinate the budget for the department in conjunction with point persons, finance and other HH team members.

  • Proactive ability to solve issues, helping to streamline work, drive efficient use of time and support high-priority business objectives.

  • Experience with event planning and coordination

  • Cover for other HH administrative assistants as needed.

Qualifications

Education Minimum Requirement:

  • High School Diploma or Equivalent

Preferred Education Requirements:

  • Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification)
  • Global support experience

Required:

  • Minimum of (8) years Administrative Assistant experience

  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices

  • Experience scheduling complex travel arrangements including multi-leg domestic and international travel

  • Demonstrated experience with processing of Visas/Passports.

  • Advanced administrative/clerical abilities with a history of high performance

  • Documented experience as a strong performer in current and past positions

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Experience with event planning and coordination

  • Extraordinary attention to detail

  • Outstanding communication and people skills

  • Experience with financial and budget tasks

Preferred:

  • Minimum of (3) years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)

  • This position will be located in Kenilworth, NJ
