International Administrative Assistant- Arcadia, WI

The International Administrative Assistant administers and oversees the International HomeStore and Gallery documentation process as well as provides administrative support and assists with projects as assigned. This position will work closely with management and International Sales team to provide support and assistance to grow our global brand awareness and development.

What Will You Do?

  • Responsible for obtaining, maintaining requests and notifications for International HomeStores, Outlets and Gallery. Create, track, and send approval/denial correspondence to licensees, including all the required documentation and accunt set up requirements.
  • Communicate all HomeStore, Outlet and Gallery related items including updates/progress regarding the International HomeStores and galleries with all required International Sales Team and in-house personnel.
  • Work directly and indirectly with International prospects/customers, credit management, legal and International HomeStore Operations teams to assist with requests for assistance, coordinate and facilitate meetings pertaining to HomeStore development.
  • Complete administrative duties such as answering telephones, handling mail, ordering, and maintaining supplies, filing, and preparing letters, memos, and emails; develop presentations as assigned. Schedule and maintain the calendar of activities for department management as well as complete expense reports.
  • Assists with Domestic and International market planning.
  • Schedule and coordinate all International Marketing Specialists and customer arrivals and departures during domestic markets.
  • Schedule and coordinate meetings for International Chief Sales and National Rental, VP of International Sales, International Marketing Specialists, international customers, and others as needed.
  • Schedule and coordinate jet for factory tours for international team and customers as needed.
  • Schedule and coordinate jet for factory tours for international team and customers as needed.
  • Respond, develop and generate reports and special project reporting regarding all International HomeStores, Outlets and Galleries for review by the International management team as needed.
  • Maintain accurate process management and continually provide recommendations to develop new process improvement measures.
  • Create, distribute, and execute legal documents for various programs; provide information to Records Management for filing.
  • Assists in coordination of travel as requested including commercial airline, rental cars, company car, shuttles, hotels, etc. Collaborate with the travel department as needed regarding trips requiring a company jet and other special accommodations.
  • Create and maintain standard email distribution groups.
  • Create and maintain vendor invoices as needed for payment.
  • Manage and track customer contact us inquiries to aide in prompt resolution to improve customer satisfaction.

What Do You Need?

  • Associate degree in Business Administration, Retail, Marketing, Communication or related field or equivalent work experience, Required.
  • 3 years of experience in an office environment, Required.
