Lead Associate, Administrative Services
Job Description
For Organon's Manufacturing & Supply (OMS), this position provides direct administrative assistance to the Senior Vice President, Supply Chain Management (SCM), (a) oversees the administrative coordination and execution of related activities required for the Supply Chain Management Leadership Team and organization at large including efforts related to scheduling, expense management, meeting cadence management, and other key activities; (b) supports execution of organizational and leadership priorities across the integrated Supply Chain Organization; and (c) collaborates with administrative peers who support other OMS leaders and other key stakeholders that partner with the Supply Chain function to achieve its mission. The primary activities include, and are not limited to, the following:
Primary Responsibilities:
Developing and managing calendars and annual schedules for the SVP and all 6 of her direct reports.
Coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
Work priorities and activities are reviewed with little supervision.
Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.
Schedules complex, multi-leg and international travel and coordinates visa applications.
Manage complex calendar and coordinate with other admins across Organon to align.
Helping with coordination and scheduling of standard Department, Cross Department and General Staff meetings and Town Halls.
Assist with Workday transactions and personnel items: people moves, job postings, scheduling interviews and responding to general onboarding issues/questions.
Manage all SCM e-mail distribution lists and emergency contact list.
Manage SCM Comms calendar and inbox.
Maintain SCM SharePoint site up to date.
Prepare and cascade monthly SCM Newsletter.
Prepare and cascade org wide announcements (Gigs, promotions, etc.).
Prepare expense reports, purchase orders and payment requests in SAP or Concur – ensuring compliance to Organon guidelines.
Collaborate with admins supporting OMS Leadership Team and partner across the functions for scheduling or other leadership commitments.
Collaborate closely with SCM Business Operations Lead in support of SCM organizational needs.
Support and help drive the use of Team Sites and Standard Work
Collaboration and Communication Skills must be at a level to effectively interact with Organon executives and internal/external clients both on-site and remotely to maintain workflow.
May be asked to help coordinate special projects within the organization.
Education Minimum Requirements:
Required: High School Diploma
Preferred: Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).
Required Experience and Skills:
Minimum of (10) years Administrative Assistant experience.
Minimum of (5) years administrative experience supporting Executives.
Advanced computer skills using (MS Outlook, MS Teams, Word, Excel, PowerPoint) and operation of other applications.
Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel.
SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP.
Ability to handle and prioritize a large number of simultaneous assignments.
Event Planning/Coordination experience.
Extraordinary attention to detail.
Outstanding communication, collaboration and people skills.
Budget/Finance Management experience.
Preferred Experience and Skills:
10 or more years administrative experience supporting a senior executive.
Prior experience supporting a Vice President, Band 700 leader.
