Job Description

The Sr. Admin, Clinical Research Oncology – Late Stage will be required to perform primary activities including but not limited to the following:

  • Coordination and performance of general administrative assistant/clerical duties and managing multiple tasks while understanding the project principles and technical skills related to own work assignments - work priorities and activities are reviewed with little supervision.

  • Prepare, process, and reconcile expense reports and disbursement vouchers, as needed.

  • Monitor email and correspondence to keep apprised of current issues and situations, responding as appropriate, and providing reminders to supervisor for the many document reviews that required.

  • Coordinates executive communications, including taking calls, responding to emails and interfacing with internal/external global stakeholders.

  • Manages the scheduling and prioritization of meetings and appointments.

  • Arranges, coordinates and schedules complex, multi-segment global travel and related departmental meetings.

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills.

  • Upholds a strict level of confidentiality.

  • Leads by example in developing and sustaining a high level of level of professionalism/cooperation among administrative colleagues within the operating unit/across the division.

  • Coordinate and/or lead special projects/assignments within the department.

Position Qualifications:

Education Minimum Requirement:

  • High School Diploma

Required Experience and Skills**:

  • Minimum of (5) years Administrative experience supporting Executive Level Leaders

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of our Company's internal systems

  • Proficient in collaboration and delegation of duties

  • Strong organizational, project management and problem-solving skills.

  • Must be willing and able to manage multiple tasks and projects to lead the day-to-day operations of the office including the ability to make decisions and be responsive to all types of issues affecting the department

  • Exceptional business (written and verbal) communication skills with friendly, collaborative professional demeanor.

  • Demonstrated experience managing, scheduling and coordinating complex, multi-segment domestic and international travel that is often revised with little lead time.

  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests.

  • Demonstrated ability to manage, prioritize and follow through on large number of simultaneous assignments, meeting deadlines for all deliverables.

  • Strong meeting/event planning and coordination experience

  • Extraordinary attention to detail and the ability to exercise initiative, flexibility, tact and independent judgement.

  • Demonstrated ability to effectively interact and communicate with our Company's executives and internal/external clients both onsite and remotely to maintain workflow.

  • Ability to work quickly, often times working under pressure while still maintaining composure and the professionalism required of an Executive Assistant

Preferred Experience and Skills:

  • Strong working knowledge of our Company and familiarity with the various divisions and functions.

  • Knowledge of HR Reporting tools, policies and procedures
