Scope of Work

Administrative Assistant role providing administrative support to 3-4 Senior Vice Presidents and back-up for others on the executive floor in New York City. Requires a highly skilled individual who can manage complex calendars, global travel schedules, expense reimbursements, ad hoc administrative assignments, and a very busy office. Individual needs to be high energy, able to manage relationships at all levels of the organization, flexible, and collaborative.

Responsibilities

  • Manage calendars; Schedule internal and external meetings and organize conferences
  • Coordinate complex international travel arrangements; Prepare detailed travel itineraries, coordinate commercial flights, dining, and ground transportation
  • Process expense reports; Reconcile and track monthly credit card statements and expenditures
  • Prepare and process visa applications for international travel
  • Perform administrative analyses which require a considerable degree of independent decision making
  • Establish, maintain, and update filing system for the department
  • Create, edit, and proofread correspondence
  • Review and respond to emails, filing and forwarding, as appropriate
  • Screen phone calls and visitors
  • Create presentations in PowerPoint and Word
  • Create spreadsheets and do basic analysis using Excel
  • Administer programs, projects, and/or processes as assigned, including:
  • Occasional event management
  • Support administrative functions for Underwriting Audits, including scheduling, co-ordination data capture, running reports and tracking status of action items.
  • Support admin functions for Underwriting Authority maintenance, training materials and other projects, as needed
  • Support other team members, as needed
