What you will do:

The administrative assistant will provide general administrative support to a department or group of professionals. Exercises considerable discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends.

  • Provide administrative support to the executive(s) and the organization, including meeting planning, travel arrangements and other administrative support functions.
  • Perform administrative support duties
  • Assignments involve work of a confidential and/or complex nature, necessitating exposure to sensitive information and contacts, thereby requiring considerable discretion, judgment, tact and diplomacy
  • Serves as the primary point of contact for communication on all matters pertaining to the executive(s)
  • Oversees and coordinates the day-to-day activities, to include the following:
  • Scheduling and prioritizing work assignments
  • Managing calendar, scheduling meetings and teleconferences
  • Preparing travel and meeting arrangements (domestic and international)
  • Preparing documents (e.g., agendas) and power point presentations
  • Preparing expense reports and spreadsheets
  • Managing expected deliverables from the organization (e.g., Business Reviews, presentations, etc.)
  • Maintaining historical records and filing system for the executive(s)
  • Performs miscellaneous job-related duties as assigned,

What You Need:

  • High School Diploma required, Bachelor's degree preferred
  • 2+ years providing administrative support including calendar, expense, and travel management.
  • Meeting / Event Planning
  • Demonstrated proficiency in using Microsoft Office Suite technology, including complex document creation, spreadsheet creation, and presentation creation.
  • Demonstrated proficiency in e-mail and calendaring systems, preferring Outlook proficiency.
  • Detail orientation (e.g., calendar support across multiple time zones).
  • Ability to take proactive initiative, learn new concepts/processes, and improve current processes.
  • Ability to provide rapid, accurate response to confidential/sensitive requests and to routinely handle confidential information.
  • Critical thinking skills preferred.
  • Ability to prioritize multiple simultaneous deliverables and work in a demanding environment.
  • Must be able to understand and work within complex interdivisional procedures and executive schedules.
  • Demonstrated interpersonal, oral, and written communication skills
  • Must be an outstanding communicator.
