What you will do:

Provide specialized and advanced administrative support, of both routine and confidential in nature, to Vice President, Division Operations, Instruments, the Senior Director of HR GQO and the vice president of Instruments Manufacturing. The responsibilities require independent judgment, initiative, executive intuition in supporting the needs of an executive and a team. This position requires a high degree of flexibility and adaptability to balance the often conflicting needs of employees, management, and the business. Prioritizing, scheduling, implementing all tasks with a sense of urgency, meeting timelines, and deliverables are key to success while maintaining the highest level of confidentiality and ethics.

  • Assist with budget tracking and creation/preparation of presentations.
  • Assist in producing franchise wide data analytics.
  • Organize meetings, teleconferences, and web casts both domestically and internationally, coordinate meeting logistics, prepare presentations and materials, and troubleshoot problems, often across other Stryker Business Units.
  • Coordinate international travel arrangements, and track and submit expense reports.
  • Type, create, and process letters, reports, and other materials (charts, graphs, etc.) using Microsoft Office Products.
  • Attend Leadership Meetings and compile/distribute meeting minutes.
  • Answer, screen, and route phone calls, provide responses to general customer requests; prepare and screen correspondence, email, and voicemail.
  • Coordinate phone, PC, and other technology support requests, including coordination for new hire on-boarding.
  • Support of departmental goals to ensure completion of ongoing projects and special assignments.
  • Maintain a well-organized filing system, ensuring critical and/or confidential data is appropriately managed and stored.
  • Ordering, stocking and organizing of office supplies.
  • Delivery and sorting of departmental mail. Perform additional duties as assigned.

What You Need:

  • 3+ years providing high-level administrative support including calendar, expense, and travel management.
  • 2+ years as Executive support
  • Meeting / Event Planning
  • Web or online content management
  • Demonstrated proficiency in using Microsoft Office Suite technology, including complex document creation, spreadsheet creation, and presentation creation.
  • Demonstrated proficiency in email and calendaring systems, preferring Outlook proficiency.
  • Detail orientation (e.g. calendar support across multiple time zones).
  • Ability to take proactive initiative, learn new concepts/processes, and improve current processes.
  • Ability to provide rapid, accurate response to confidential/sensitive requests and to routinely handle confidential information.
  • Critical thinking skills preferred.
  • Ability to prioritize multiple simultaneous deliverables and work in a demanding environment.
  • Must be able to understand and work within complex interdivisional procedures and executive schedules.
  • Demonstrated interpersonal, oral and written communication skills.
  • Experience with international travel is required.
