Position Summary

This position is part of the People Services Global Benefits Service Line team and has responsibility for supporting the operations, administration and execution of the US and Puerto Rico Savings 401(k) & Benefits Equalization and Retirement programs, audits, and processes. Operational responsibilities include, but are not limited to, day-to-day operational activities, executing on contribution payments, building, and maintaining process, policy, and regulatory required documentation performing data and reporting analysis, managing access requests to third party systems, solutioning for and responding to Business Unit and Tier 2 inquiries, escalations, and ad-hoc requests. This role also supports operations of the US/PR H&W and benefits programs.

Detailed Position Responsibilities

  • Strong Subject Matter knowledge on US and Puerto Rico qualified and non-qualified savings and retirement plans' systems, operations, and regulatory environments
  • Supports the operations and escalations for US/ PR Health & Welfare Insured benefits including Annual Enrolment for US & PR populations and required financial reporting for H&W, both active and retiree
  • Administers the operations of the BMS US/PR Savings and Retirement Plans, including contributions and vesting, statutory and legal filings, non-discrimination testing and blackout restrictions and relevant financial reporting as required for active, retired and other eligible populations
  • Prepares the funding for all plans and pay periods and conduct data checks and reconciliations
  • Responsible for answering tickets in a timely manner and in line with the plan design and regulations
  • Maintains in-depth understanding of all BMS qualified and non-qualified savings and retirement plan guidelines, processes, and programs
  • Supports the development of robust controls being embedded in each process and operating as designed; the build, implementation and adherence to SOX controls and compliance and audit activities as needed, to ensure compliance with all statutory requirements related to benefits, retirements and recognition plans and programs operations
  • Supports coordination and delivery of all quarterly and annual audit and SOX compliance requests, ensuring all requests are met within required deadline
  • Tracks incidents and maintains log of root causes, analyzes data, and escalates as appropriate
  • Assists with tracking and monitoring vendor budgets, preparation of forecasts to plan annual spend, and preparation of quarterly reports and analysis on spend
  • Maintains day-to-day vendor and third-party relationships with Fidelity, and any other third party providers to support the plans and their administration.
  • Maintains expertise in navigating/reporting within the Fidelity system
  • Monitors and reviews all BMS Service Now cases assigned to the US/PR Savings and Retirement Plans, serves as primary point of contact in all related case issues
  • Documents all processes and identify areas for improvement, automatization and streamline
  • Support the Americas Benefits group as needed

    Experience Desired

  • BS, BA or graduate degree in business or equivalent experience.
  • 2+ years’ experience in human resources service delivery, within operational / administrative areas in a shared service environment, strongly preferred
  • 2+ years of experience administering US Savings (401K) plans required. Additional experience in PR preferred.
  • Ability to work independently as well as collaboratively across cross-functional, cross organizational teams
  • Working knowledge and understanding of SOX controls for PII data regulations
  • Demonstrated deep functional knowledge of US Savings and Retirement programs, trends, best practices and recent legislative and other changes, required. Additional experience in PR preferred
  • Demonstrated analytical abilities, high attention to detail, exceptional organizational skills and the ability to work with a sense of urgency and effectively in a fast-paced environment successfully managing multiple competing tasks and priorities Knowledge of or ability to quickly learn and use current BMS HR enabling systems Workday, ServiceNow, Fidelity PSW system and other applications such as Visio
  • Proficiency with Microsoft Office including Outlook, Intermediate Excel, Power point
  • Ability to exercise independent judgement and discretion utilizing company policies and principles, knowing when to escalate
  • Ideal Candidates Would Also Have:

  • Certified Employee Benefits Specialist (CEBS) or equivalent Industry designation
  • Experience working with: Workday, ServiceNow and ADP.
  • Experience working in a global, virtual environment
