Position Summary
Accountable for establishing, maintaining, and improving the Maintenance Planning and Scheduling business flow
process for the Production Maintenance, Calibration, Laboratory and Critical Utilities areas. Work as the backup of
CMMS system administrator. Follow current Good Manufacturing Practices (cGMP’s), Reliability Center Maintenance
Standards, EPA and OSHA regulations and other local and federal policies and regulations applicable to the duties of
the position. This position must comply with all security guidelines, environmental health and safety required by the
job function. The Senior Specialist Asset Information, Planner-Scheduler, Reliability Excellence reports to Manager
Asset Information, Workflow, and Quality REX, Reliability Excellence.


Key Responsibilities
• Manages work through a computerized maintenance management system (CMMS) or other work order system
• Prioritizes work through a defined protocol of asset/process criticality and equipment redundancy
• Reviews work requests/orders for accuracy and clarity
• Reviews all planned work from assigned area and determines validity and accuracy of information and engages
the appropriate resources to set a preliminary priority
• Obtains and organizes all information required for the work being performed (i.e., drawings, vendor manuals,
supplemental materials, special procedures, diagrams, permitting, etc.)
• Balances scheduled work orders with labor availability and skills
• Maintains and monitors backlog for adherence to industry standards
• Maintains and monitors a bi-weekly/weekly schedule for all crafts
• Prepares requisitions in the CMMS or other work order system to ensure materials, parts, labor and other
charges are allocated to the appropriate work order
• Verifies all material, information, tools and labor are available prior to scheduling
• Works with warehouse staff to control spare part usage to maximize inventory control through regular
turnover, without using critical spares for routine maintenance, and reducing maintenance costs
• Coordinates maintenance needs with operational functions to minimize downtime

• Estimates and defines requirements for total labor, materials, special tools, equipment, and skill sets, for all
work including complex projects such as plant shutdown, plant improvement projects, etc.
• Prepares and presents comprehensive reports with recommendations or needed changes
• Establishes and maintains work planning for OEM or contractors
• Participates in redundancy and contingency planning for emergency situations
• Uses critical path methods and other planning methods to coordinate and optimizes workflow
• Develops, evaluates, and implements detailed standard operating procedures
• Reviews, corrects, and confirms all CMMS or other work order system data
• Provides to Maintenance and Reliability and Calibration supervisors an effective Maintenance and Calibration
execution schedule that minimizes the impact to production and increases maintenance labor productivity
• Evaluates and analyzes the cost of maintenance of the top ten most expensive assets in terms of labor and
designs a plan to reduce or control the cost of maintenance labor
• Designs more effective means of providing materials close to the work area and a safe work environment for
maintenance personnel that maximizes “wrench time”
• Develops a three (3) months ahead scheduling plan for materials, tools and personnel based in the areas
equipment availability and share the plan with maintenance and calibration supervisors
• Monitors the field preventive maintenance execution within the Production Maintenance and Calibration
departments and establishes KPI’s and team discussion for work order execution effectiveness
• Maintains performance metrics related to planning and scheduling, parts availability and work order execution
for the Production Maintenance and Calibration Engineering Maintenance department areas
• Represents the Maintenance department at the site Capacity Planning Meeting and negotiates the required
windows for maintenance activities execution
• Reports the preventive maintenance execution performance within the site Quality Council meetings
• Provides support to other Engineering and Maintenance department functions as required by plant needs and
unplanned events


Working Conditions
• Occasional exposure to disagreeable conditions, like excessive noise, high or excessive heat and/or humidity,
extreme cold, exposure to the elements, chemicals, high voltage, mechanical equipment
• The incumbent may occasionally work around hazardous materials to include chemical agents
• Minimum personnel protective equipment (safety shoes, safety glasses, hard hat) required
• Frequent writing and use of keyboard
• Special gowning as defined and required in the manufacturing and required areas
• Incumbent may be required to work extended hours, or a modified work schedule as required for coverage of
startup activities for future projects and support of ongoing 24/7 operations
• The incumbent must communicate effectively both verbally and written

Travel Requirement
• Requires Travel <5% of the time


Qualifications & Experience
• Bachelor Science or equivalent technical degree with more than five (5) years of experience in the
maintenance field
• Six (6) years of experience in a maintenance organization in roles such as maintenance technician or supervisor
• Four (4) years of experience in a planning/scheduling function in a pharmaceutical manufacturing or similar
industry within the maintenance organization
• Proficient in the use of any Computerized Maintenance Management System (CMMS); database owner or
administrator is preferred
• General knowledge in Facilities, Utilities and Manufacturing equipment, maintenance procedures and spare
parts management
• General knowledge of planning and scheduling principles and processes as related to maintenance practices
• Self-starter with strong analytical skills
• Knowledge of maintenance processes such as: maintenance, repair and operation (MRO), preventive
maintenance, administration, planning and scheduling ability to identify problems and develop solutions
• Ability to apply negotiations skills in dealing with internal customers and vendors
• Ability to communicate effectively with customers in regard to developing and meeting expectations
• Excellent interpersonal relations and negotiations skills
• Computer skills
• Good oral and written communication skills
• Willing to work irregular hours, rotating shifts, and any day of the week
• Able to work expeditiously within time constraints
