Specialist Contract Administrator
Job Description
Our Sourcing team partner with the business to ensure efficient acquisition of goods and services that enables the commercialization of our medicines, vaccines and Animal Health products. We collaborate internationally and are grouped into center-led categories and regional operating teams.
Role Description:
One of the core functions of the Global Sourcing Management Group (GSMG) is to conduct effective sourcing work for our Company by executing our end-to-end sourcing process. This includes working with the business stakeholder to understand the needed goods or services, identifying the viable suppliers, conducting the evaluation process via RFX steps, selecting the final suppliers, and then completing the negotiation and formal contracting work. The Global Sourcing and Contracting (GSC) team sits within the Business Operations organization of GSMG and is responsible for executing the GSMG S&C work.
The Contract Administrator executes administrative contract management activities such as setting up records in Ariba, performing triage, managing contract execution, contract storage and repository maintenance and, supplier contract maintenance, extensions, and terminations
Responsibilities:
Review contract and check for completeness, following up with business users for further information where necessary
Generate contract workspace (CW), ensure all appropriate risk checks and approvals are obtained
Triage requests based on triaging instructions
Arrange for necessary approvals and signatures to finalize contract
Ensure contracts are stored in Ariba system
Facilitate Purchase Orders
Able to operationalize contracts including extracting metadata, ensuring accurate supplier information and status, and enabling purchase orders
Check workflow daily for tasks assigned and redirect work items as appropriate
Help business structure contract request and confirm appropriate information is gathered accurately
High focus on delivering excellence to GSMG / Stakeholders / Legal to enable value creation
Continuously work with stakeholders / procurement / legal to understand and escalate their needs as needed
Able to track and report contract metadata extraction
Required:
Bachelor’s Degree in Business, Finance, Law or related field
Experience:
Minimum of two (2) years in a contract administrator or relevant role
Familiarity with transaction structures and an understanding of key contractual terms
Experience in preparing and reviewing contracts/legal documents and processing them for Legal/SME review, approvals and signature, either manually or using CLM software
Experience with extracting key metadata from executed contracts and processing documents for storage/archiving
Experience with contract management software and workflow management tools. Familiarity with Ariba Contract Workspace (CW), SAP, Appian vendor management and/or ServiceNow would be a plus
Experience working on Microsoft applications like PowerPoint, Excel, etc.
Preferred:
- Fluent in French
