The Executive Associate, Worldwide Medical Oncology will support the VP Head, WW Medical Oncology Early Assets & Biomarkers and Head, WW Medical – Early Transition Oncology including team members. We are looking for a dynamic, performance driven, well-organized and flexible individual who thrives in a fast-paced environment. This individual must be able to work independently and make decisions on behalf of manager in regard to: calendar and travel events, as well as understand how to work professionally with matrix teams.

Key Responsibilities

  • Perform highly diverse and complex administrative functions, including but not limited to proactive calendar management, domestic and international travel arrangements, expense reports and ability to work with HR as well as prepare submissions of SOW’s and PO’s.
  • Anticipate needs of manager and/or team, and take appropriate steps to produce desired outcome with minimal assistance from supervisor with accuracy and efficiency to meet all deadlines
  • Interface in a professional manner with senior executives and matrix team members, handle confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations
  • Assist with the scheduling of MMT meetings and taking meeting minutes
  • Anticipate key issues and implement action plans based on changing priorities and commitments. Be able and willing to adapt to constant change and have the ability to quickly course correct when necessary
  • Exhibit a positive work attitude, high productivity and a collaborative approach with other employees across an international environment
  • Prioritize activities and take action based on an understanding of department objectives, customer needs and BMS business strategies

Qualifications:

  • High School diploma. Some college preferred
  • 3 years experience as an executive associate, 7 years of administrative related experience; prior BMS and Executive Associate Experience preferred
  • Candidate must possess strong interpersonal skills in dealing with all levels of management internally and externally
  • Strong communication skills including excellent verbal and written skills
  • Proven ability to handle sensitive information with confidentiality, discretion and good judgment
  • Candidate must have experience acting as lead to administrative assistant(s)
  • Must possess the ability to take initiative and adapt to frequently changing priorities
  • Ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment and provide high quality work with attention to detail
  • Proactive, solution-oriented approach to collaboration with strong decision-making capability in order to guide assigned projects to successful conclusions
  • In depth knowledge of company internal systems, policies and procedures
  • Candidate must be proficient in Microsoft Office, Outlook, Concur, SAP, Ariba, SharePoint and Workday
