Administrative Assistant

Amentum is seeking an Administrative Assistant to support our team of multi-skilled technicians in an office facility in Waukesha, WI. Typical working hours are 1st shift, hours and days worked may vary based on business demand.

Responsibilities:

  • Manages the administrative and secretarial day-to-day activities including, but not limited to providing required support to department members, ordering supplies and handling office issues as required.
  • Be a backup for ordering materials and coordinating any service or maintenance requirements.
  • Manages new employee on-boarding, including ensuring new employees attend first day meetings, following up with HR and Safety that all paperwork is received, issuing PPE and uniforms, etc.
  • Prepares, proofreads, and distributes letters, reports, briefings, proposals, and other correspondence. Also, prepares special or on-time reports, summaries, analyses, or replies to inquiries under general direction.
  • Prepares and maintains word processing, spreadsheets, data bases, and/or other software files and information.
  • Responds to routine and non-routine inquiries as appropriate.
  • Schedules appointments, makes travel plans, arranges meetings, and prepares required materials. May attend meetings and record and report on proceedings.
  • Organizes and maintains departmental files. Opens, reviews, and distributes incoming mail. Prepares and ships outgoing mail.
  • May distribute, tabulate, and enter time sheets and staff expense reports.
  • Perform any tasks as requested by manager.

Minimum Requirements:

  • High school diploma and 3 year of experience or equivalent.
  • Must have experience with operating application software including word-processing, power point and excel spreadsheet programs.
  • This position does not provide sponsorship, must be eligible to work in the US.

Work Environment: Physical Demands, and Mental Demands: Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must possess planning/organizing skills, and must be able to work under deadlines.
