Admin Assistant - Asset Management

The Admin Assistant - Asset Manager assists the Facility Manager in the area of managing and operating the classified preventive maintenance system for the controlled access areas of the Consulate. Receives, processes, schedules, and monitors work orders for the controlled access areas of the classified building and building systems. Assists the Maintenance Supervisor and Shop Foreman in storing, maintaining, and keeping all records, drawings, technical manuals, and building notices needed for the safety and maintenance of the controlled access areas of the Consulate.

As directed by the GSO manages secure asset management of equipment and parts to support building systems in Controlled Access Area (CAA). Identifies procurement needs for appropriate approval in an online system, and follows up to ensure they are ordered, and received. Completes receiving reports and assists with yearly secure inventories. Coordinates with the Contractor personnel team and Facility Manager to ensure adequate stock of securely-procured expendable maintenance supplies; arranges pick-up of necessary items from secure receiving area and delivery to worksite by cleared Americans. Performs general office administrative duties such as preparing reports, tables, summaries, and other documents using standard office software.

Assists with all Contractor personnel administrative duties to include: maintain Contractor personnel records; provide Contractor personnel with information pertaining to this contract and/or Consulate procedures and policies; assist contractor personnel in work related or personal matters as required; register all new Contractor employees with the Consulate and aid them in adjusting to the new environment; track all employee performance reports.

Qualifications:

  • Knowledge of building trades, property management and asset management, construction, and computerized maintenance management skills.
  • Knowledge of computer programs; must be able to produce letters, reports, and presentations.
  • Must be 21 years of age or older, have completed secondary school. Four-year college degree or completion of a trades or technical school is preferred.
  • A driver’s license is required.
  • Must be able to obtain and maintain a U.S. Government issued Top Secret security clearance.
